The Administrative Executive is responsible for ensuring smooth day-to-day operations of the company's premises and administrative functions. This includes managing building facilities, handling maintenance and repair works, coordinating with vendors, and ensuring that all office supplies, utilities, and assets are properly maintained and replenished. The role also supports general administrative and operational needs across departments.
Key Responsibilities
1. Building & Facilities Management
Oversee the upkeep and maintenance of the office building, ensuring cleanliness, safety, and functionality.
Coordinate with building management, contractors, and service providers for repairs, inspections, and maintenance schedules.
Monitor utilities, air-conditioning, lighting, and other essential systems to ensure proper functioning.
Handle tenancy-related matters, including correspondence with the landlord or property management office.
2. Office Supplies & Asset Management
Source, purchase, and track office supplies, pantry items, and stationery to maintain adequate stock levels.
Manage procurement for equipment, furniture, and other assets required for office operations.
Maintain an updated inventory of all company assets and ensure proper record-keeping.
3. Vendor & Service Coordination
Liaise with external vendors and service providers (cleaning, security, courier, IT support, etc.).
Obtain quotations, prepare comparison summaries, and ensure timely delivery and payment processing.
Review and manage service agreements, renewals, and performance.
4. Administrative Support
Assist in organizing company events, meetings, and travel logistics.
Handle incoming/outgoing mail, courier services, and general correspondence.
Support documentation, filing systems, and administrative record-keeping.
Provide general support to the Senior Finance Manager and management team as required.
5. Compliance & Safety
Ensure all statutory and building compliance requirements (e.g., fire safety, insurance, licenses) are met.
Maintain documentation for safety and building inspections.
Job Requirements
Diploma or Degree in Business Administration, Management, or related field.
Minimum 1 years of relevant administrative or facilities management experience.
Strong organizational, multitasking, and time management skills.
Hands-on, resourceful, and proactive in problem-solving.
Good communication and negotiation skills when dealing with vendors or building management.
Able to work independently with minimal supervision.
Possess own transport is an added advantage.

Pay: RM2,500.00 - RM3,000.00 per month
