Job Description

DUTIES AND RESPONSIBILITIES



1. To issue and send monthly / quarterly statements to Owners.

2. To call and collect maintenance charges from Owners to ensure uptodate payment.

3. To document and issue receipt for rental of facilities.

4. To send reminders / notices to defaulters in timely manner.

5. To bank in all collections (cash / cheques) and submit batching form to HQ accounts dept on daily basis.

6. To manage site petty cash as per SOP by HQ accounts dept.

7. To submit payment requisitions.

8. To prepare proper notices in notice boards.

9. To keep the management office clean and tidy.

10. To carry out general administration and filing of important documents in the management office including purchasers file, access cards records, contracts, licences etc.

11. To respond promptly to the written, verbal complaints by the Residents or the Management Corporation Committee. The Administrator should investigate and evaluate the complaints before taking further action including seeking advice from Condo Manager to resolve the complaints.

12. To update residents / owners contacts and address in the master list.

13. To check and report attendance of all workers and staff.

14. To conduct stock check with maintenance and cleaner departments on monthly basis.

15. To conduct key check at Management Office and guard house on monthly basis.

16. To attend monthly MC meeting.

17. To attend yearly AGM.

18. To verify invoices of monthly service providers.

19. To take immediate remedial action against any faulty M&E services, such as lift breakdowns, malfunction of swimming pool pumps and lights.

20. To ensure all maintenance service contracts to be carried out in time, in accordance to the terms and conditions as set in the agreement and service reports to be submitted for Condo Manager checking and taking action while copies to HQ for record purposes.

REQUIREMENTS



1.Minimum 1 year of experience in an administrative or office support role, preferably in the property or real estate industry

2.Strong organisational and time management skills, with the ability to prioritise tasks and work under pressure

3.Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of the organisation

4.Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office software

5.Attention to detail and a commitment to accuracy in all tasks

6.Flexible and adaptable, with a proactive and solution-oriented mindset

7.Fresh Graduates encouraged to apply.

Job Type: Contract
Contract length: 12 months

Pay: RM2,000.00 - RM2,200.00 per month

Work Location: In person
