Artwork Coordinator (packaging Service)

Job Description


Job Purpose

  • Ensure delivery of packaging artwork for all relevant new and changed packs within the remit of the artwork hub or market(s) covered by the role
  • Act as interface between all relevant parties in the artwork process, both internal (marketing, regulatory, logistics, finance) and external (staff in the artwork and packaging service delivery functions, manufacturing sites, 3rd party artwork production services).
  • Supports the Artwork Coordinator Team Lead, coordinating artwork changes or new pack artworks for the allocated business from origination of request to artwork completion and use in market.
  • Coordinates implementation of packaging improvement projects, liaising closely with Packaging Shared Service subject matter experts and Commercial stakeholders.
  • Coordinate internal and external stakeholders to ensure timely delivery of packaging artwork whilst adhering to artwork and packaging supply chain and local processes and procedures.
  • Manage artwork approval between all relevant parties in the artwork process, both internal (Marketing, regulatory, planning, legal, trademarks, technical packaging and category) and external (Manufacturing sites and Printers).
  • Maintain and update the artwork and packaging supply chain systems and any local artwork tracking tools, providing status updates to the artwork manager and key internal stakeholders highlighting any issues or risks to delivery.
  • Participate in cross-functional project meetings, providing guidance on key artwork timings, milestones and issues.
  • Provides advice and guidance on the pack range and its extension to interested stakeholders
  • Knowledge of FMCG or pharmaceuticals or vaccines environment an advantage
  • Understanding of artwork-related aspects of planning, graphic design, materials, forming and finishing processes,
suppliers, specifications and documentation (incl. BOM\xe2\x80\x99s), and an understanding of artwork criticality in the product supply process
  • More than 2 years working experience at a senior administrative or customer relationship level, which includes project management /coordination experience.

  • An understanding of legal restrictions and requirements relating to artwork production.
PSR Submission
  • Liaises with Commercial Marketing and Regulatory Affairs, or any other stakeholders in order to ensure submission of PSR details, prior to new pack artwork brief creation
  • Reviews launch dates provided by Commercial Marketing and Regulatory Affairs (considering production and transportation lead-times)
  • Monitors and follows up on PSR approval and informs Regulatory Affairs, Commercial Marketing and Supply Planners of the final approved PSR. Takes action to ensure resolution of any delays in the process.
  • Provides advice and guidance on the pack range in reviews of potential shared pack options.
Change Documentation and Artwork Brief Creation
  • Responsible for identifying all SKUs/SCIs impacted by a change
  • Responsible for obtaining appropriate PGDT/design that meets marketing requirements, coding requirements & tamper evidence and meets artwork technical specifications
  • Responsible for ensuring clarity of the changes required e.g. font size requirement, spacing arrangements and regulatory requirements for each component.
  • Responsible for checking and confirming that changes are consistently applied across all artwork components.
  • Prepares a project plan against the pack implementation strategy and timings provided by regulatory, and manufacturing site lead-times and next planned production provided by supply
  • Ensure that barcodes that are not provided by external authorities are obtained and submitted with the artwork brief
  • Review the artwork brief against the mandatory checklist
  • Completes any documentation required by Manufacturing Site Representatives.
Impact Assessment
  • Responsible for submitting the final artwork brief and ensuring that the artwork brief shared to the Artwork Provider is aligned to the input provided from Regulatory Affairs (+Commercial Marketing and Supply Planner)
  • Carries out impact assessments and informs Regulatory Affairs, Commercial Marketing and Supply Planner if any change to the original brief (or timings) was made / requested by Manufacturing Site Representatives or Artwork Providers
  • Communicates any changes to the timings during the artwork process to Regulatory Affairs, Supply Planner and Commercial Marketing
  • Responsible for ensuring final brief approval by the appropriate stakeholders
Artwork Release
  • Notifies Supply Planning, Regulatory Affairs (and Commercial Marketing, if applicable) of final approval of artwork
  • Responsible for storing artwork in line with retention policies
Performance Management
  • Carries out performance tracking and escalates issues as required to ensure on time expected delivery of artwork for new/changed packs in market. Performs level 1 monitoring of artwork process and activities within their area of responsibilities
  • Contributes improvement ideas and data to artwork process reviews
  • Offers mentorship and training / coaching to staff taking responsibility for artwork tasks, supporting them to achieve the required levels of competence for unsupervised working in the artwork process.
Degree level or equivalent learning Formal education in printing, graphic design, packaging or Experience in the areas of Customer Service and Project Management Job Type: Permanent Salary: RM3,500.00 - RM4,000.00 per month Benefits:
