If you want to shape a brighter future at AIA Digital+, please read on. About the Role Contract Administration and Management of 3rd party vendor and internal agreements. This includes tasks and activities relating to contracting process, strategy, contract set up and the ongoing administration and management of contracts to drive increased value from vendors and a reduction in risk. Follow the Group Technology IT Contract Management Guidelines including associated process flows for all new and existing contracts. Key responsibilities include: Support pre-contract signing activities by: . Logging new requests into contract library and tracking to closure. . Supporting the creation of contract related requirements for insertion into tender documents - primarily using existing templates. . Advising on overall contracting strategy to meet the business objectives, budget, and risk parameters. . Evaluating vendors during the competitive bidding process. . Researching existing vendors and contracts within the contract library that can be leveraged. . Reviewing and preparing contractual documents: master agreements, statements of work, order forms and NDAs using existing templates or vendor documents, identifying, and reducing risks to AIA. . Negotiating contracts with external vendors - including coordination of internal cross functional teams. . Ensuring vendor and AIA stakeholders completes pre-contract activities and complies with AIA\'s standards and policies and the IT Contract Management Guidelines. . Capturing and logging contract obligations from new and existing contracts. . Managing the contract execution-signing process. . Uploading contracts and supporting documents to the contract library and vendor performance systems. Support post-contract signing activities by: . Managing and administering the contract library to ensure the data is correct and available. . Leading and managing contract renewals, updates, and termination processes for third-party and AIA Intra-Group Agreements. . Regularly reviewing the status of contracts and advising stakeholders of the contract timelines and strategies to ensure timely renewals, amendments, or terminations. . Supporting contract change management. . Forming strong relationships and driving adherence to AIA\'s processes, standards, and policies with internal AIA cross functional teams and Business Units during pre-contract and post contract activities. . Providing contract advice and interpretations for questions related to contract documents or processes. . Coordinating and participating in Governance and Review Meetings. . Corresponding with vendors regarding the relationship and contract matters. . Managing contract disputes to satisfactory resolution. . Supporting the development of new or revisions to contract documents such as contract templates. . Driving continuous improvements in managing contracts and vendors. . Advising and training stakeholders on best practice processes, templates, and guidance documents Education University graduate in related discipline Experience Minimum 5 years of relevant working experience Experience in a vendor or contract management or Procurement functions, preferably in the IT sector Experience in the life insurance industry an advantage Special skills Strong communication and interpersonal skills Ability to work in dynamic environment Strong negotiation skills Strong analytical skills Detail oriented Commercial focus and understanding of commercial constructs Ability to understand contract and legal principles Project delivery focus Ability to engage and manage cross functional teams
