Job Description

Role Purpose



To manage and synchronise the company's

core business departments

so the entire organisation runs efficiently, on schedule, and with high performance.

Key Responsibilities (Focused on Sales, Ops, Marketing & Admin)



1. Sales Management & Support



Oversee daily performance of the sales team and sales admin. Ensure enquiries, leads, messages, and customer interactions are handled promptly. Monitor sales targets, daily/weekly performance, and conversion rates. Coordinate campaigns or promotions with the marketing team. Ensure the sales process flows smoothly into operations and fulfilment.

2. Operations Management



Ensure orders are processed, packed, and shipped accurately and on time. Supervise the operations and warehouse team on daily tasks. Maintain workflow efficiency and resolve operational issues quickly. Track fulfilment performance, error rate, and daily throughput. Ensure strong coordination between Ops, Sales, and Admin.

3. Marketing Coordination



Coordinate execution of marketing plans, campaigns, and content schedules. Ensure marketing and sales teams are aligned on product launches and promotions. Track performance of content, live sessions, campaigns, and ads (provided by the team). Follow up with marketing team to ensure deadlines and deliverables are met.

4. Administration Management



Oversee daily administrative functions (HR, attendance, basic paperwork, scheduling). Ensure admin tasks are completed accurately and on time. Monitor team discipline, leave, punctuality, and general compliance. Support the Founder with simple documentation and organisational routines. Maintain structured internal communication across teams.

5. Cross-Department Coordination



Run daily/weekly check-ins with Sales, Ops, Marketing, and Admin teams. Ensure all departments understand priorities, deadlines, and responsibilities. Identify cross-team issues early and resolve them before they escalate. Ensure everyone stays aligned with the Founder's direction.

6. Founder Support (Operational Execution)



Turn Founder's instructions into clear action plans for each department. Follow up until tasks are completed accurately and on time. Filter daily issues and only escalate critical matters. Provide weekly operational updates and highlight key problems or wins.

Requirements



Must-Have



3-7 years experience in operations, sales management, marketing coordination, or SME/startup environments. Strong leadership, communication, and team management skills. Highly organised, proactive, and able to manage multiple departments. Comfortable in fast-paced, high-growth startup environments. Strong problem-solving ability and high sense of ownership.

Bonus Advantages



Experience in e-commerce fulfilment or online sales. Experience managing junior staff or interns. Knowledge of TikTok/Shopee/IG sales workflows. Experience working closely with founders or small teams.
