RESPONSIBILITIES

Resourcing

  • Accountable for accurate headcount & recruitment tracking for all members of Production Engineering
  • Will act as the SPOC for all resourcing related enquiries and activities (fully knowledgeable in the use of the recruitment & people management tool)
  • Manage resource conversions from agency contractors to permanent resources within the quotas provided
  • Ensure employee dashboard that we have created is updated every month and sent to the domain heads to manage their team structures & headcount targets
  • Work with TAs to ensure open JRs are accurately recorded and filled to avoid long lead times and assist to remove any blockers both with LMs and TAs
  • Assist in completing the people related components on the operational scorecard ahead of the monthly meetings, work with other members to ensure completeness of the scorecard if any entries non-people related are missing.
Cost & Financial Performance
  • Provide financial support for all the BAU costs that we hold the budget for which is currently maintained on a vendor schedule
  • Ensure accurate entries are being recorded in the vendor schedule for complete transparency
  • Become an SME around BAU costs to be able to work with our Finance colleagues, and SPOCs, in terms of the requisition requests, and other financial queries pertaining to the vendor spends
  • Assist with the validation of the Flow-through support documentation as part of the Corporate plan annual exercise.
Engagement
  • Assist with activities being led by the People office initiative under any of the 4 pillars of work.
  • Responsible for updating the Internal awards confluence page
  • Be an important asset in creating fun and engaging games/activities for the PE community to take part in; and preparing and maintaining the calendar for such events and the prizes/eVouchers that are distributed.
  • Coordinate, plan and manage logistics for seamless execution of events such as: Townhalls, Brown Bag Sessions, etc.
  • Active role in moderating townhall events alongside the Senior manager and the Community manager
People
  • Ensure all email groups are maintained and updated
  • Timesheet tracking to ensure all resources whether BAU or project-funded submit timesheets so the accurate manday effort is being recorded against the applications being support or the projects they are engaged on.
  • Track mandatory elearnings and block leave
Business Continuity Management/Location specific
  • Preparation of BIA docs for KL
  • Pre/Post docs for Hub down test for KL
  • Managing metrics portal- BCP
Risk Management
  • Proactive in monitoring and seeking regular assurance that the areas of responsibility and teams are performing to an acceptable risk and control standard.
  • Work towards the elimination of non-standard processes and systems that contributes to high operational risk.
  • Act quickly and decisively when any risk and control weakness become apparent and ensure they are addressed within an appropriate timeframe and escalated through the relevant committees.
Governance
  • Familiarise with key policies (on delegated authorities, T&E, G&E, OBI, Block Leave, Handbook etc.) and actively manage and review process to ensure policies are adhere to.
  • Manage corporate governance matters as required
  • Ensure \xe2\x80\x9chousekeeping matters\xe2\x80\x9d are in order such as completion of mandatory team elearning, timesheets, trainings, job objectives completed etc.
  • Embed the Group\xe2\x80\x99s values and code of conduct in the TB T&I Team to ensure that adherence with the highest standards of ethics and compliance with relevant policies, processes, and regulations among employee\xe2\x80\x99s form part of the culture.
  • Ensure compliance with the highest standards of regulatory and business conduct and compliance practices as defined by internal and external requirements. This includes compliance with local banking laws and anti-money laundering regulations and guidelines.
  • Responsible for ensuring effective governance, oversight and controls in Transaction Banking businesses re: Technology
  • Awareness and understanding of the regulatory requirements and expectations relevant to the role.

  • Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

ROLE SPECIFIC TECHNICAL COMPETENCIES
  • Fluent in English (written and spoken)
  • Exceptional presentation, communication and influencing skills
  • Advanced MS Office skills: MS Excel, PowerPoint and Word
  • Familiarity with Agile methodology is an advantage
  • Previous experience in the Banking or Technology industry is an advantage
  • Attention to detail (esp. financials & resourcing)
