Job Description



Sales & Administrative Support:



Provide general sales support including data entry, order posting, quotations, invoicing, CN/DN/SOA/BA (bi-weekly & monthly), and currency exchange updates. Generate Purchase Requests, Payment Requests, and ensure timely customer invoicing. Maintain accurate e-filing and hardcopy documentation. Assist in ISO document preparation and support the ISO audit process

Sales Reporting & Performance Monitoring:



Prepare sales reports and assist in tracking sales performance and KPIs. Conduct cost analysis applications and renewals (e.g., ACFTA, ATIGA). Support cash flow planning and maintain daily bank balance updates.

Customer & Contract Management:



Draft, prepare, and follow up on customer contracts and proposals. Compile and manage customer complaints and maintain the customer database. Plan and arrange customer plant visits, including preparation of meeting minutes.

Team & Communication Coordination:



Manage BD team's weekly meetings, take minutes, and prepare Power BI presentations. Act as liaison between the BD team and other departments. Manage team's general email, hotline, and company assets.

Shipping & Logistics:



Handle internal, external, and export shipment planning and container movement. Prepare necessary shipping documentation (e.g., CIPL).

Financial Tasks:



Forecast payment collection, monitor debtor aging, and ensure timely collections. Record purchase invoices, prepare weekly creditor payments, and reconcile inter-company transactions. Knock off receivables and issue official receipts (OR). Prepare and verify internal and external commission payments.

Regulatory & Membership Management:



Maintain O&G reference platforms and manage association registrations, subscriptions, and renewals.

After-Sales & Asset Management:



Track after-sales team assets, manage job arrangements, and monitor budget utilization.

Business Process & Improvement:



Assist in implementing process improvements and supporting sustainable, long-term business growth initiatives.
Job Requirements

At least a Diploma holder with 2 years of experience in Sales Support/Coordinator. Ability to multitask, work independently with good time management and strong organizing skill. Good command in English and Malay (Mandarin will be an added advantage) Proficient in Microsoft Office, advanced knowledge in Excel is an added advantage. Can-do attitude, proactive, strong attention to detail, and flexibility to adapt on fast paced changes. Respond promptly after working hours and during weekends (if needed). Able to support weekends or Public Holidays coordination remotely (if needed).
Job Type: Full-time

Pay: RM3,500.00 - RM4,500.00 per month
