KEY ACCOUNTABILITIES:

  • Types, proof-reads and processes a variety of documents including general correspondence, memos, forms, statistical charts from rough draft or verbal instruction, using word processing applications and/or typewriter, and also follow-up on the issue of these documents.
  • Maintains updated records of filing index and correspondence references, files all documents and letters accordingly, manages proper filing system and to ensure that all documents are easily available and accessible to the staff when requested.
  • Ensure that the quality files are properly kept and archived or disposed accordingly upon expiry of the declared retention period; ensure proper transfer of the files (to be archived) to the library for archiving in the filing room.
  • Maintains proper upkeep and coordinates the usage of conference and training room by maintaining various schedules and calendars.
  • Maintains proper keeping and updating of the Corporation keys in the Admin. Office key box.
  • Familiarizes with the overall functions of the Administrative Section, which include reception, administrative and filing etc.
  • Builds and maintains positive working relationships with co-workers and other employees using principles of good customer service, and performs any other duties that may be assigned by supervisor from time to time.
  • Prepares purchase order and request for payments on expenses relating to Administrative & Human Resources works via SAP.
  • Key in the excel file for staff quarters\' rental, electricity, and water bills. Also, generate bill for Company Owned Quarter (COQ) and email to staff.
  • Assist staff to process the travelling expenses via Concur.
  • Maintains and updates record for employees\' personal files and furnish information as and when requested.
  • Assist in the newly recruit\'s orientation and on-job-training programme.
  • Checking and calculating staff SEPS benefits on housing and vehicle loan subsidy claims.
  • Familiarizes with the overall functions of the Human Resources Section, which include payroll, staff benefits & welfare in accordance with the TACOS requirements.
  • To carry out and participate in 5S activity at workplace.
QUALIFICATION:
  • All positions in this job class require applicants to possess minimum Form 5 qualification with at least 5 years of experience in Admin and/or Human Resources related activities.

  • Adapt to changes in company policy & procedures, processes, system and working environment from time to time.
