Job Description

Knowledgeable and Experienced

You should have at least 36 months of experience in a corporate environment,

particularly in reception. An experience in facilities, property management, hospitality or

related field is ideal will go a long way.

A positive thinker and strong communicator

Are you a confident, energetic and customer-oriented? Can you interact with stakeholders?

across all levels? A great match for this job would be someone who has good presentation skills, approachable manner as well as

superb written and good communication skills.

Organizational and professional

You should know how to remain calm and professional, and maintain a proactive and

positive attitude, especially in managing multiple operational matters under stressful

situations. You must be able to manage conflicting priorities and apply holistic

approaches for long-term solutions, while complying with the firm's procedures and

standards.

Receptionist role:

  • Welcome guests/ visitors and provide prompt guidance/ support to inquiries in attentive & professional manner. Be responsible for Envoy system Receive / deliver company related mails and documents to employee by hand.
Admin Assistant:
  • To ensure all office daily operations smooth including:
  • Pantry (stacking of F&B), cleanliness, vending machines and stationery supplies, stock maintenance at all time availability;
  • Business cards printing coordination; Monitoring of Housekeeping related activities; Courier services management;
  • Communicate to the FM through all incidents and all-important operational issues which require his/her assistance, guidance, and approval;
  • Taking facility rounds and raising concerns, follow up and initiate immediate rectification actions to close the issues at soonest as possible;
  • Communicate to the FM all incidents issues and pending problems;
  • Meeting room management;
  • Co-ordinate with for office moves;
  • Oversee the upkeep of indoor plants and take necessary action if required;
  • Parking-related matters;
  • Key management;
  • Issue PR/PO
  • Processing Invoices
  • To assist all soft service requirement
Vendor Management:
  • Vendor real time monitoring of services and periodic reviews and ensure adherence to SLA
  • Processing of vendor Invoices
