Job Description


  • Bachelor\'s degree in Event Management, Marketing, Communications, or a related field.
  • Experience:
  • Minimum of 3-5 years of experience in event planning or conference production.
  • Proven track record of successfully managing large-scale events.
  • Skills:
  • Exceptional project management and organizational skills.
  • Strong written and verbal communication abilities.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency in event management software and tools.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.

Preferred Qualifications
  • Experience with virtual and hybrid events.
  • Knowledge of digital marketing strategies.
  • Certification in event management (e.g., CMP - Certified Meeting Professional).
Working Conditions
  • Fast-paced environment requiring flexibility and the ability to manage multiple tasks simultaneously.
  • Occasional travel and long hours during event execution periods.
Responsibilities
  • Conference and live content programmes produced on time as per the event timetable and drop schedule
  • Provision of up to date and useable speaker lists/files for event management to follow up
  • Effective telephone-based conference programmes and research with industry professionals
  • Effective and useful research documents
  • Timely production and contribution as required to the Conference Marketing, Sponsorship and Telesales Strategy Document
  • Successful execution of live content management responsibilities, unique KPIs to be determined per event during kick off phase, but may include specific number of government speakers, specific number of new speakers, specific number of international speakers, specific number of sessions, etc.
  • Keeping within programme budget
Research
  • Carry out telephone research with senior executives to obtain detailed insight as to what the sub-industry needs to learn
  • Carry out desktop research with past delegates and key exhibition visitors to identify key topics for live content
  • Following and reporting on other industry events and competitive events
Content Creation (Be highly creative)
  • Conference agenda - In depth topics, Error free
  • Conference Brochure, Sponsorship Prospectus Content - overview, who should attend, why this event, etc - Error free
  • Email Template - Prepare a calendar for sales and sponsorship department
  • Prepare email template accordingly - Error free
Project Management
  • Write a highly detailed, commercial, technical or strategic agenda capturing exactly what the sub-industry wants to learn
  • Ensure that all conferences achieve the objectives as set by the conference director
  • Pitch, invite and confirm executive level speakers from the leading companies within the sub industry
  • Ongoing project management of the live content, ensuring proper liaising and coordination between various departments
  • Onsite management of the live events, including speaker and operations management
  • Assisting Conference Managers with onsite management of department conferences
Sponsorship & Sales Brief
  • Give the sponsorship and sales department a complete run down of the event
  • Provide all possible leads that will come on board as sponsor and delegates
  • Provide the team with relevant articles, white papers and reports
  • Pitching points for sponsorship and sales team
  • During the sales cycle you are required to passively manage the sales process by being supportive and offering any product related assistance
  • Its expected that you will be proactive and look at ways to assist the sales and sponsorship team to counter any product related objections that may surface
General
  • Writing website and marketing copy as required
  • Help create the sales and marketing strategy to drive revenue on your project
  • Build relationships with key industry players (buyer and supplier side) to advise on conference content
  • Maximising revenue-generating opportunities
  • Performing any other tasks as required
Social Media Management
  • Generate content calendar for all events
  • Clarify your target audience and ideal social platform before the post
  • Generate buzz with hashtags
  • Prioritize consistency
  • Pique interest with teaser posts
  • Have enough event info to sell tickets as soon as you announce
  • Work with designer in designing attractive designs and content
Partner & Media Engagement
  • Categorise partners
  • Know who you\'re targeting
  • Find the right partners
  • Get your messaging right
  • Engage with your partners and media
Stakeholder Management
  • Government agency engagement
  • VIP invitation & management
Reporting
  • Weekly report and meeting on all department status
