- Manage day-to-day administrative tasks including email correspondence, scheduling meetings, and handling phone inquiries.
- Maintain accurate records, databases, and files pertaining investors and company executives communicate.
2. Company Secretarial Matter:
- Maintaining proper filing and updating for all corporate secretarial documents of the company.
- Coordinating with external company secretaries on relevant matters
- Assisting in the preparation of board resolutions, meeting minutes, statutory forms and other corporate secretarial documents according to the standard format for external company secretaries' proper submission to the relevant authorities.
- Prepare meeting agendas, minutes, and other documentation as required.
3. Organisational Events
- Event coordinate with the events planning, organization, and execution of events such as conferences, seminars, and ESG activities.
- Maintain accurate records, databases, and files pertaining to events, and other association activities.
- Assist with logistical arrangements including venue booking, catering, and attendee registration.
4. Corporate Exercises
- Maintain up-to-date relevant data pertaining to all the programmes / projects activities and provide an accurate minutes of meeting report timely.
- Maintaining a high level of confidentiality in matters concerning the Board and all stakeholders.
- Performing any other special tasks and responsibilities as and when assigned by the Management from time to time.
5. Internal Audit
- Conducted in internal audits, ensuring all systems against applicable laws, legislation, regulations and company policies and procedures in accordance.
- Participate and contribute actively to continuous improvement activities.
6. Boards Matter
- Communicate with the board members for company and corporate level matters
- Assist in preparation of board meetings and shareholders / members meeting
- Periodic shareholding analysis
- Others assignment by the management from time to time
Qualifications, Experience, Skill, Abilities and Knowledge
Bachelor's degree in business administration, or a related field.
2 years work experience in a similar administrative role, preferably within a trade association organization.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent written and verbal communication skills in English language
Proficiency in Microsoft Office, Excel and PowerPoint and other relevant software applications.
A proactive attitude, attention to detail, and a collaborative approach to work
