Responsibilities1. Document Preparation & Processing
  • Prepare shipping documents such as Bills of Lading, Airway Bills, Delivery Orders, Marine Insurances.
  • Ensure all shipping documents comply with international trade regulations.
  • Verify the accuracy of shipping instructions and customer requirements.
2. Customs & Regulatory Compliance
  • Prepare and submit customs declarations and clearance documentation.
  • Ensure compliance with international shipping regulations and local customs laws.
  • Liaise with customs authorities for approvals, duties, and tariffs.
3. Coordination & Communication
  • Coordinate with shipping lines, airlines, warehouses and all vendors for shipment arrangements.
  • Communicate with clients regarding document status, shipment tracking, and any necessary corrections.
  • Work closely with internal teams such as operations, finance, and sales for smooth processing.
4. Data Entry & Record-Keeping
  • Maintain accurate and up-to-date records of shipments, invoices, and related documents.
  • Input shipment details into the freight management system or software.
  • Ensure all documentation is filed systematically for easy retrieval and audits.
5. Problem-Solving & Issue Resolution
  • Identify discrepancies in shipping documents and correct errors promptly.
  • Address documentation-related issues that may delay shipments or cause compliance issues.
  • Assist in resolving disputes related to missing or incorrect paperwork.
6. Payment & Billing Support
  • Assist in preparing invoices and supporting documents for billing.
  • Verify freight charges and other costs related to shipments.
  • Work with the finance department to ensure payments are processed correctly.
