The Document Control Assistant is responsible for supporting the document control process to ensure all company documents are properly managed, updated, and stored. This role assists in maintaining accurate records, ensuring version control, and supporting compliance requirements within the department.
Key Responsibilities1. Document Management
Assist in receiving, sorting, updating, and distributing controlled documents such as SOPs, forms, manuals, drawings, and internal records.
Maintain and update document registers, revision logs, and tracking systems.
Ensure documents are filed correctly (physical and digital) for easy retrieval.
2. Version & Revision Control
Support the process of document updates, revisions, and approvals.
Ensure only current and approved document versions are available and distributed.
Archive obsolete documents following the company's document retention policy.
3. Compliance Support
Assist in ensuring document control procedures follow company policies and compliance standards (e.g., ISO requirements if applicable).
Help prepare documentation for audits, reviews, and inspections.
4. Administrative Support
Perform data entry, formatting, and editing of documents.
Assist in preparing reports, summaries, and document-related updates.
Provide general administrative support to the department as required.
5. Coordination & Communication
Liaise with internal departments to follow up on document submissions, updates, and approvals.
Notify relevant users of new releases or document changes.
Requirements
Minimum Diploma in Business Administration, Quality, or related field.
Basic knowledge of document control or filing systems (training provided).
Minimum 1 year experience added advantage
Proficient in Microsoft Office (Word, Excel, PDF tools).
Organized, detail-oriented, and able to manage multiple tasks.
Good communication and coordination skills.
Able to maintain document confidentiality.

Pay: RM1,800.00 - RM2,200.00 per month
