Manage and control the flow of project documents, including drawings, technical specifications, contracts, RFIs, submittals, and correspondence.
Register, track, and update all incoming and outgoing documents, ensuring proper document versioning and revision control.
Maintain an organized filing system (physical and digital) for project documentation, ensuring traceability and easy retrieval.
Distribute updated drawings and documents to relevant stakeholders (consultants, contractors, project team) in a timely manner.
Ensure all project documentation complies with client requirements, ISO standards, and company procedures.
Support audits by preparing complete and accurate document records.
Collect and verify receipts, claims, and supporting documents from project site staff before submission to Finance.
Prepare and update claim/expense reports for project teams.
Assist in monitoring project deadlines and documentation submission schedules.
Provide administrative support such as data entry, meeting coordination, and communication with site teams.
Requirements:
Degree/ Diploma/Degree in Admin, Project Management, or related field.
2-3 years' experience in document control/admin (construction industry preferred).
Knowledge of project documentation (drawings, RFIs, T&C, submittals).
Proficient in Microsoft Office (Word, Excel, Outlook).
Organized, detail-oriented, and able to meet deadlines in a fast-paced environment.
