Maintain and organize calendars, schedule appointments, and coordinate meetings.
Prepare and draft correspondence, emails, reports, and presentation materials.
Attend meetings and record minutes (MoM), then distribute and follow up on action items.
Handle incoming calls, manage communications, and respond to inquiries.
Maintain confidential records and files.
Document Control Duties:
Set up and maintain a structured filing system for both hard and soft copies of documents.
Register, track, and manage all incoming and outgoing documents
Ensure documents are properly reviewed, approved, and distributed to relevant parties.
Maintain up-to-date records of all document revisions, transmittals, and approvals.
Ensure document templates and formats comply with company/project standards.
Support the QA/QC team in managing inspection records and related project documentation.
Key Requirements:
At least 2 years of experience in secretarial and/or document control roles (construction or engineering environment preferred).
Proficient in Microsoft Office (Word, Excel, PowerPoint) and document control systems.
Strong organizational and communication skills.
Attention to detail and ability to manage multiple tasks simultaneously.
Ability to maintain confidentiality and handle sensitive information.
