1. Document Management & Control
Manage, coordinate, and maintain all documents related to the IPO process in an organized and systematic manner.
Ensure all documents are up-to-date, complete, and approved before distribution.
Prepare and update the Document Register, including tracking dates, versions, and approval status.
Control access and maintain confidentiality for sensitive documents such as financial reports, due diligence files, legal documents, and submission materials.
2. Coordination for IPO Submission
Support the IPO Task Force in preparing required documents for submission to relevant authorities, including:
Bursa Malaysia
Securities Commission Malaysia (SC)
External auditors
Legal advisors and consultants
Compile, organize, and prepare appendices in accordance with official submission requirements.
3. Compliance & Quality Assurance
Ensure all documents comply with regulatory requirements, IPO guidelines, and specified formats.
Conduct accuracy, consistency, and quality checks before submission.
Maintain a clear audit trail documenting revisions, approvals, and document ownership.
4. Communication & Coordination Support
Act as a liaison between the IPO team, internal departments, and external parties for document requests.
Coordinate meetings related to documentation and prepare minutes of meeting.
Ensure all stakeholders receive the correct documents within the required timeline.
5. Administrative & Tracking Duties
Assist in preparing timeline tracking for IPO documentation processes.
Provide documentation status reports to the Task Force Lead / CFO / IPO Project Manager.
Maintain both digital and physical filing systems in a secure and accessible structure.
6. Confidentiality & Security
Manage sensitive documents with high security and discretion.
Ensure access is restricted to authorized personnel only.
Perform regular backup for digital files to prevent data loss.
