. The Document Controller will be responsible for managing, tracking, and organising all project documentation to ensure accuracy, compliance, and timely distribution to project stakeholders.
Key Responsibilities1. Document Management & Control
Maintain, organise, and control all project-related documents, including drawings, technical submissions, shop drawings, material approvals, method statements, inspection records, and contracts.
Ensure all documents are properly filed, indexed, and updated according to project and company standards.
Implement document numbering systems and version control procedures to avoid duplication or outdated information.
2. Distribution & Coordination
Receive, log, and distribute incoming drawings, correspondence, and documents from the main contractor, consultants, and vendors.
Track document status and ensure all drawings, RFIs, submissions, and approvals are returned within the required timeframe.
Coordinate with site teams, engineers, and subcontractors to ensure they have the latest revision of drawings and documents.
3. Communication & Reporting
Prepare and maintain document registers, transmittals, submission logs, and tracking sheets.
Notify relevant departments of new revisions or updates.
Assist in preparing weekly or monthly project documentation reports for management and clients.
4. Quality & Compliance
Ensure all documentation complies with project requirements, ISO standards (if applicable), and internal QA/QC procedures.
Support audits by providing required records and assisting in closing documentation gaps.
Maintain confidentiality and security of sensitive project information.
5. Support to Electrical Subcontractor Operations
Handle electrical-related documentation such as cable schedules, load lists, single-line diagrams (SLD), equipment datasheets, and test reports.
Assist the electrical project team with submissions to consultants, main contractors, and authorities (e.g., TNB, Suruhanjaya Tenaga where applicable).
Track material deliveries, Method of Statement (MOS), and Inspection & Test Plan (ITP) submissions related to electrical works.
RequirementsMinimum Qualifications
Diploma/Certificate in Business Administration, Construction Management, Engineering, or relevant field.
Minimum
1-3 years of experience
as a Document Controller in the construction industry.
Preferred Experience
Experience working with
electrical subcontractors
, M&E contractors, or engineering firms.
Familiarity with electrical documentation such as SLDs, datasheets, as-built drawings, test reports, and QA/QC records.
Skills & Competencies
Strong organisation and filing skills, both digital and physical.
Proficiency in document control software or common platforms (e.g., Aconex, Procore, Microsoft SharePoint).
Good knowledge of Microsoft Office (Excel, Word, PDF tools).
Attention to detail and high accuracy in managing documents.
Ability to work under pressure and meet tight deadlines.
Good communication skills and ability to coordinate with multiple teams.
Additional Advantages
Experience with ISO 9001 or QA/QC systems.
Knowledge of construction workflows, especially M&E processes.
Ability to assist with procurement paperwork or site administrative support.
