The Role: Event Operations Specialist

The Team: This role will support the Global Event Operations Team for Commodity Insights, a division of S&P Global. This dynamic team manages the logistics for 16 annual conferences and events world-wide. It\xe2\x80\x99s a fun-loving and hard-working group (based in the US, the UK and Singapore), with lots of energy and a true passion for producing events and delighting customers.

The Impact: This role will be responsible for essential Event Operations tasks that directly impact our events, customers and internal stakeholders.

What\xe2\x80\x99s in it for you: The Event Operations Specialist will gain knowledge of complex business processes and software and assist to standardize global procedures. This is a great opportunity for someone looking to break into the event planning business, working alongside a team of experienced event planners, and on a variety of event types. The Event Operations Specialist will liaise with key internal and external stakeholders, clients and event sponsors.

Responsibilities:

  • Manage event venue and vendor contracts and invoices in Ariba software system and liaise with internal teams and external vendors to facilitate contract signatures and payments.
  • Create event sponsor informational packets, communicate with (and assist) event sponsors, and manage deliverables/assets.
  • Manage attendee lists and create/run reports in Cvent Registration System, including working with the Compliance Team to screen registrants.
  • Build event mobile apps in Cvent\xe2\x80\x99s Attendee Hub, working with team members to obtain updated agenda, speaker and sponsor details.
  • Manage graphic file requests with vendors for the mobile app and event signage.
  • Completes other assignments as required and/or assigned.
What We\xe2\x80\x99re Looking For:
  • Bachelor\xe2\x80\x99s Degree or equivalent education and experience.
  • 2-3 years of related work experience.
  • Excellent English-speaking skills required (oral and written).
  • Experience with Ariba, Smartsheet, Sharepoint, Cvent or similar systems preferred.
  • Knowledge of graphic file types and specs, e.g. .pdfs, .jpgs, .pngs, etc. preferred.
  • Quick learner on new software systems and internal processes.
  • Excellent communication and customer service.
  • Flexibility to adapt to global team nuances, requests with varying degrees of urgency, new assignments.
  • Ability to work on multiple event tasks at various stages simultaneously.
  • Highly organized.
