Conduct data management / validation on unit viability of programs offered.
Digitalisation of data populated from academic units on Big Data Analysia using Power BI & Power Query on Big Data Analysis.
Collect, analyse, and manage student, graduate, and alumni data related to the Program Educational Objectives and Learning Outcomes. Effectively collect, organise, and manage course and student data for the purpose of Continuous Quality Improvement (CQI).
Develop timely dashboards and reports for leadership, accreditation bodies, and operational planning.
Provide analytics on completion on time / graduate on time, workload distribution, and progression patterns.
Review existing processes regularly to improve efficiency, accuracy, and turnaround time.
Introduce best practices that promote a data-driven culture across academic units.
Offer training or briefing sessions to strengthen data literacy within the academic community.
Serve as the key point of contact for academic data queries and compliance matters.
Safeguard sensitive academic information and ensure responsible use of analytics.
DATA COLLECTION, PROCESSING & MAINTENANCE
Assisting course management team to coordinate data inputs from Faculties / Schools, HoDs, convenors, and administrative units.
Maintain structured datasets across enrolment, teaching delivery, assessments, and graduation records.
Streamline data processes to support timely reporting and reduce duplication of effort.
REPORTING, ANALYTICS & INSIGHTS
Manage the end-to-end process of collecting, validating, and consolidating data from Schools, administrative units, and academic systems.
Produce timely and reliable reports for management and accreditation process reporting
Develop automated dashboards for academic unit budget tracking, and academic workload
DATA GOVERNANCE & QUALITY ASSURANCE
Oversee the accuracy, completeness, and integrity of all academic-related data.
Implement consistent data standards, validation checks, and audit mechanisms.
PHYSICAL AND INFORMATION TECHNOLOGY RESOURCES MANAGEMENT
Monitor working environment and facilities in the Academic Units for smooth operations.
Collaborate with all stakeholders to manage and ensure maximum space utilisation.
Coordinate with the University Information Technology unit to ensure the computing, service and network support requirements are provided in an effective and efficient manner.
LEADERSHIP
Effectively lead the team of academic administrative officers.
Perform supervisory role to subordinate(s), including identifying training needs and personal development of subordinate(s), to ensure satisfactory delivery of work outcomes with motivated team member(s).
Work collaboratively and professionally to provide administrative support to the Academic Units' staff and stakeholders.
RISK MANAGEMENT
Assist in the review of risk register for the Academic Office. o Assist in updating of the risk review.
JOB REQUIREMENTS
A Bachelor's degree in Engineering, or relevant discipline from a recognised institution with at least three (3) years relevant work experience.
Understanding of academic structures, student life cycle, and operational processes.
Prior involvement in academic planning, accreditation, or quality assurance activities.
Good problem-solving skills and ability to handle more than one priority at a time.
Strong communication skills, in written and spoken English and Bahasa Melayu.
Integrity and confidentiality in handling sensitive academic records.
Collaboration & Service Orientation: Works effectively with internal stakeholders to understand their needs. And supports academic units with timely and responsive data solutions.
