Job Description

The Administration and Building Executive is responsible for overseeing facility operations while providing essential administrative support to ensure smooth and efficient organisational functioning.

Key duties include managing building maintenance and safety, coordinating repairs and services, and ensuring the facility remains clean, secure, and well-maintained.

The role also supports administrative functions such as preparing letters and correspondence, assisting with event planning and coordination, organising schedules, updating databases, conducting follow-up calls, and maintaining accurate records. This position plays a vital role in supporting daily operations and ensuring a well-managed environment for staff and visitors.

The main duties and responsibilities are:



1. Conduct daily routine inspections of the building.

2. Monitor facilities management work, including landscaping, maintenance, and repairs.

3. Supervise any renovations or major repair works undertaken at the premises.

4. Serve as the primary contact for occupants regarding any issues related to the building, including building repair / maintenance, building signs and directory, problems within the company's compound, and health and safety issues related to the building and its grounds.

5. Respond respectfully and in a timely manner to all complaints, issues, and problems related to the building, and maintain a log of all complaints, issues, and problems.

6. Oversee emergency procedures and organise periodic fire safety drills annually for staff.

7. Ensure maintenance work is carried out according to schedule, and that all building regulations, including safety and health requirements, are met.

8. Submit cost-effective recommendations and proposals for repairs, maintenance, fixtures, and fittings, taking budget considerations into account.

9. Submit annual budget requirements and generate reports on building maintenance.

10. Work with contractors and vendors on repairs, maintenance, and equipment to ensure services are delivered in a cost-effective and timely manner.

11. Handle venue rental inquiries and serve as the venue / F&B coordinator for all events taking place at the company or organised by the Foundation, whether on-site or at other locations.

12. Assist in utilising space within the building.

13. Handle administrative tasks, i.e preparing letters and correspondence, assisting with event planning and coordination, organising schedules, updating databases, and conducting follow-up calls.

14. Perform other duties and responsibilities as requested by Management.

Job Type: Full-time

Pay: From RM3,000.00 per month
