The Executive Administrator coordinate with all levels within colleagues and organize activities under ROPU ASKAN Vaccination Technologies and Services. The tasks for Executive Administrator are to provide secretarial and administrative support to the Poultry ROPU ASKAN members such as VTS Competence Center Manager, Poultry Business Segment Head, Poultry Technical Manager, RSAM Manager and VTS colleagues. The Administrator is to support and facilitate activities pertaining to the Department.

Tasks & responsibilities

  • Provide secretarial and administrative support to the Poultry ROPU ASKAN members such as VTS Competence Center Manager, Poultry Business Segment Head, Poultry Technical Manager, RSAM Manager and VTS colleagues which entails:

  • Raise purchasing and payment requests. Create and submit Purchase Requisition in WeBuy for all purchases such as spare parts/equipment, stationeries, groceries, events, lab tests, speaker and service agreements,

  • Manage filing, updating, retrieval & archiving of information & documents, records retention.

  • Maintain VTS Competence Center logistic inventory and order additional supplies as needed.

  • Prepare monthly reports on water, electricity and checking on safety equipment at VTS Competence Center.

  • Responsible for organizing training or meeting (internal and external), seminars and conferences; and to coordinate travel activities for the Department and liaise with other Functional Administrators on Function Heads\' travel. Which includes:

  • Arranging and managing the logistics for meetings, trainings, appointments, events & teleconferences.

  • Preparing the agenda & flight bookings, hotel reservation, ground transportation, meeting registration, meals, refreshments, stationery, as needed.

  • Budget planning and tracking of expenses of activities related to the above.

Requirements

  • Diploma / Bachelor\'s Degree in Business Administrator
