Executive Assistant Location: Mutiara Damansara Working Days: 5 days Salary range: RM4,500 - RM5,500 Nature of Business: Established ALC Insurance Agency & Financial Planning Company Role Overview: -As the Executive Assistant to the Founder and Co-Founders, you will play a pivotal role in supporting our Founder and Co-Founders in daily operations and strategic initiatives. -Perform with considerable independence and high degree of professionalism and provide crucial administrative and other duties using initiative and judgement, with knowledge of the organization\'s matters, and an acute sense of diplomacy and confidentiality. -Provides the required governance, operational functions, platforms, frameworks and resources needed to maintain the order of Operations. -Work with Founder and Co-Founders to provide a second and/or recommend alternative resource allocation measures which may generate cost savings and result in optimal use of resources. Record concise, meticulous minutes of all REC meetings, maintaining strict confidentiality. Research, answer, screen and follows-up on enquiries and multiple incoming issues and concerns addressed to the Founder and Co-Founders, including those of sensitive or highly confidential nature, and if necessary, referring enquiries orseeking relevant information from the most appropriate staff member or department. Maintain open communication and work relationships with agents as required to clarify Founder and Co-Founders requirements and ensure smooth progress and achievement of deadlines. Proofread, edit and format drafts prepared by the Founder and Co-Founders including confidential documents, prepare circulars and creates spreadsheets and presentations, in a timely manner with impeccable attention to detail. Provides first line support to Founder and Co-Founders on digital devices and applications, internal systems, presentation tools, processes and office facilities as well as maintaining digital filing systems. Undertakes other tasks as assigned and carry out duties relying on own initiative and independent action to assist with scheduling, completing work assignments, and contributing to the effective running of the Founder\'s Office. Competencies and Experiences A Diploma or Bachelor\'s degree with major in Degree in a related field or equivalent experience Excellent organizational and time management skills, with the ability to prioritize tasks and work under pressure.
