ABOUT THE ROLE

  • Reporting to SEA MD, this role is responsible for the planning, development, and execution of internal communications strategies and supporting the Managing Director\xe2\x80\x99s schedule as her Executive Assistant. This role works across various functions to support business transformation, change management, and employee engagement activities.
  • The EA and Internal Communications Specialist must be creative, proactive, and positive with a strong sense of accountability, engagement and a day-to-day focus on deadlines, deliverables, budgets, and measurement metrics. Key to this role is the ability to execute simultaneous integrated activities aligned with overall SEA mission and business planning.
  • The role also serves as the Office Manager for LN Malaysia, undertaking the operational duties related to the office.
RESPONSIBILITIES

Communications & Executive Branding
  • As Internal Communications lead in the business, this role will deliver communications programs that are in line with business strategy and brand identity in driving high performance and employee engagement and retention; and drive organizational communications from Managing Director and Senior Leaders to all employees including business updates, organizational updates, etc. through various platforms and mediums such as townhalls, newsletters, roundtables, etc.
  • The Internal Communications lead should ensure that SEA employee engagement plans are aligned with HR to drive initiatives across SEA and drive cultural behavioral change
  • The Internal Communications lead will be responsible for maintaining an effective digital archive of organizational achievements, initiatives, and results in creating a strong organizational archive and knowledge base to support continuity, employee onboarding, award applications, etc.
  • This role should be metrics driven and continuously drive improvements in delivering effective communications with employees and targeted audiences.
Executive Assistant to MD & Office Manager
  • As Executive Assistant to Managing Director, this role will be responsible for planning and budgeting of the SEA MD\xe2\x80\x99s cost center, scheduling appointments and meetings, coordinating logistics for meetings, engagements, and events; arrange travel for SEA MD and track related expenses, receive, screen, and re-direct calls, visitors, and mails; maintains files and records; and any other ad-hoc support, including but not limited to, research and other similar tasks
  • The Executive Assistant to MD will also support with communicating directly with other stakeholders in following up on the status of assignments; exercising confidentiality, tact, and diplomacy; prepare correspondences, reports, presentations, agendas, minutes, etc.; and respond to routine correspondences and inquiries
  • As Office Manager for the KUL office, this role is responsible for budgeting and administering the corresponding OPEX approvals in line with budget for the KUL office (including processing invoices, raising payment requests, etc.). This also includes working closely with Finance team for monthly, quarterly, and annual financial reporting, planning, and analysis; attend to reconciliations in the budget as needed; have the ability to foresee potential outcomes and flag issues which may impact seamless office operations and employee safety in the facility.
  • The Office Manager will work closely with the Global Real Estate and Corporate Services team and especially with the on-site Facilities Coordinator to oversee general office operations and ensure undisrupted and efficient office operations. This role will also work closely with HR department and other employees to maintain a safe working environment for all users of the facility.
  • The Office Manager is also responsible for driving continuous improvements in processes and enhancing services of the facilities and vendors engaged. Will require working directly with vendors if needed for maintenance and enhancements.
Project & Events Management
  • Undertake special projects as allocated by SEA MD. Conduct research and analysis required for the projects including regular status reports and escalate where appropriate risks and opportunities.
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently and within budget
  • For Internal Employee Events Management, provide event support and planning for events such as retreats, meetings, offsites, etc. This includes logistical research and planning, day-of support, and invoice/billing management to deliver events on time, within budget, and meets expectations and objectives.
EXPERIENCE
  • University degree or equivalent.
  • Excellent communicator and team player.
  • Knowledge of LexisNexis products, services, pricing, contract policies & practices.
  • Project management skill.
  • Demonstrable working knowledge of the principles, current procedures, relative strengths and trends in communications and public relations, and the ability to apply this knowledge to ensure a successful outcome
  • Experience developing communication plans and managing online communication channels to align with project milestones and promoting new internal business initiatives.
  • Experience in key message development, leadership communications, projects and event management and planning, content development for multiple channels and extensive stakeholder relationship management. Demonstrated ability to write for a range of stakeholders, easily able to change style and tone to suit the audience and channel, and executive presentation development.
  • Proven ability to balance strategic and tactical responsibilities and a motivation to execute at a ground level. Excellent attention to detail and a willingness to take on a variety of tasks
  • Interpersonal skills: Explain difficult or sensitive information or communications.
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
