Managing, administrative and monitoring all Operational activities pertaining Administration MA (Sepang) being carried out systematically and effectively and comply with procedures requirement.
ESSENTIAL POSITION FUNCTIONS
To authorize for application of Petronas Smart Pay and Telecommunication (Celcom & Maxis). Identify and analyze pattern of usage to indicate potential wastage or misue of facility.
To prepare and planning on yearly budget for OPEX/Fixed Asset & CAPEX Budget Cost Centre 1000101.
To plan, monitor and execute all purchasing and bill payment for OPEX/CAPEX Budget Cost Centre 1000101. Ensuring payment is within payment period.
Responsible for Petty Cash Float funds (Cost Centre 1000101 for Administration & Emergency Float for MA (Sepang) i.e to cash all petty cash/emergency float cash cheque, to process and make payment for all claim via Petty Cash Claims.
Responsible as the Asset owner for Cost Centre 1000101.
To strategize, monitor and update the risk score card.
To plan, handling and monitoring logistic issues/needs for office equipment and office facilities for MA (Sepang).
To monitor on yearly staff uniform process within the timeline given for MA (Sepang) except for AVSEC & AFRS.
To prepare Management paper i.e. Exco Paper MA (Sepang) for any Administration related issues to be highlighted for MA (Sepang).
To take role and responsbility as IMS Representative for Administration i.e. to facilitate and prepare on findings for Administration from IMS Compliance Audit (ISO9001, ISO14001 & OHSHAS 18001)
To take role and responsibility as an Internal Auditor for MA (Sepang) i.e to facilitate on findings for unit in MA (Sepang) for IMS Compliance Audit (ISO9001, ISO14001 & OHSHAS 18001).
To take responsibility to plan and monitor for emergency situatuation as alerted by AOCC MA (Sepang) i.e. transportation and refreshment for MA (Sepang) staff during the incident/accident.
To monitor all contractual services process in Administration Deparrtment i.e MAAH for Indoor Lanscape at Level 4 AMC, Vehicle Leasing, Printing Machines for MA (Sepang).
To analyze, monitor on monthly/yearly of fuel usage for MA (Sepang) and identify initiatives to reduce/optimize fuel consumption.
To assist on Administrative matters for MA (Sepang) i.e. (new application of mobile phone for Duty Executive, facilities for event organized by Management MA (Sepang)).
To assist Administrative matter on leasing management i.e ICT, vehicles and office equipment in-line with budget and operations requirement for MA (Sepang).
To prepare monthly schedule of Management Representative on Duty (MROD) for MA (Sepang).
To demonstrate an employee-oriented company culture that emphasizes quality, continous improvement and high performance.
To assist and coordinate on arrangement of Event Management for Management of MA (Sepang) and activities related to Business Support Services.
To perform any other duties that is related to the position
To monitor and follow up with Finance MAHB on all bill payment process done within the timeline. * To plan, execute and monitor uniform and safety shoes facility. Coordinate with respective business units to understand the requirements and execute through contractual terms. Key Challenges
To manage all matters pertaining to the rules and function of Administration MA (Sepang).

Degree in any discipline, preferably in Business Administration/Human Resource OR

Degree in Human Resource Management / Human Development / Business Administration Minimun CGPA 3.0
Relevant Industries Internal
Degree holder with 1 year of experience in an Executive Role - HR & Administration
Diploma holder with 2 years of experience in Administration
Certificate holder with 3 years of experience in Administration
Must achieve and maintain the following performance rating for
two (2) consecutive years of at least: Exceptional / A or Outstanding / B; and Minimum Meet Expectations / C
The employee must not be subjected to disciplinary punishments except for disciplinary counseling, caution, reminder & warning for the past 36 consecutive months
