Job Description



As an executive event organiser, you will have responsibility for putting on a range of events such as seminars, short courses, workshops, conferences, exhibitions. You are expected to manage the whole process from the planning stage, right through to running the actual day itself and the post-event evaluation. The role is very hands-on and often involves working as part of a team.

Job Responsibilities

  • Liaise with internal customers (primarily academic staff) to find out their exact event requirements
  • Produce detailed proposals for events (for example, timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Book venues, suppliers and contractors, and then negotiate prices and hire
  • Manage and coordinate suppliers and all event logistics (for example, venue, catering, exhibition)
  • Liaise with sales and marketing teams to publicise and promote the event including website and social media
  • Manage all pre-event planning, e.g. Organising guest speakers and delegate packs
  • Coordinate suppliers, handle participants\xe2\x80\x99 queries and troubleshoot on the day of the event to ensure that all runs smoothly and to budget
  • Work collaboratively with a team of staff
  • Organise facilities for car parking, traffic control, security, first aid, hospitality and the media
  • Make sure that insurance, legal, health and safety obligations are followed
  • Oversee the dismantling and removal of the event and clear the venue efficiently
  • Produce post-event evaluation to inform future event


Job Requirements
  • Candidate must possess at least a Bachelor\xe2\x80\x99s Degree, Post Graduate Diploma, Professional Degree, Education/ Teaching/ Training, Human Resource Management or equivalent
  • Required languages(s): Fluent communication in English
  • Preferably at least 2-3 years of working experience in the related field or event management industry
  • Computer literacy \xe2\x80\x93 MS Excel, MS Word and MS Power Point
  • Basic Skills in Adobe Illustrator, Photoshop or other design software
  • Pleasant personality and respect confidentiality
  • Creative and innovative, always seeking to add value
  • Must be willing to work flexible hours and weekends if needed
  • Ability to remain calm when things get hectic and exciting
