Job Description


JOB PURPOSE

The Executive, Student Engagement and Leadership (Public Relations and Communications) is responsible for assisting Student Development in planning, organising, coordinating, and implementing strategic communications through activities and initiatives that raises the prominence and visibility of Student Development and its sub-departments, increases students participation in key strategic programmes and activities, achieving strong social media presence and participation in alignment to department\'s strategic priorities, and developing a strong culture of students participation in co-curricular activities especially the SHINE Award Programme.

He / She will be actively creating and capturing meaningful activities, events, success, achievement, and milestones that would significantly promote Student Development and its products/services to internal and external stakeholders through all official communication channels. There should be an adequate supply and timely communication of all activities, initiatives, and a compilation of post releases with video/images pertaining to these initiatives in a media bank/ folder that is easily accessible to all.

He / She will also be spearheading the designing of collaterals and items for the purpose of raising awareness and visibility. Materials developed will be used to anchor the promotional and advertising to students and other intended audience.

Marketing, advertising and promotional campaigns, initiatives and activities should be regularly developed in alignment to the core offerings of Student Development for the purpose of engaging and soliciting student\'s participation. This includes social media engagements and other necessary medium which connects to the stakeholders better.

He / She must produce an analysis of the communication plans and strategies carried out monthly, provide key findings, and make recommendations to enhance the existing strategies in place.

He / She will also be key Advisor to Clubs and Societies especially Media, Arts and Communications related Clubs and Societies.

KEY RESULT AREAS / RESPONSIBILITIES

Strategise, create and implement campaign, outreaches, and marketing plan for key Student Development Function & Services

  • Have a good and comprehensive product and service knowledge of Student Development as a whole and can articulate these services and products creatively and convincingly to internal and external stakeholders.
  • Cover events and activities organised by Student Development and its sub-departments to ensure coverage is immediate and updated on all social media and communication platforms within the Service Level Agreement.
  • Develop and implement an annual communication plan/strategy to help drive publicity and promotional initiatives campus wide and externally.
  • Strategically map all communication activities according to the Publicity and Promotions matrix and event dates of the activities.
  • Ensure post event release is up on all agreed upon communication platforms 2 weeks from the event date.
  • Develop a mechanism where internal and external stakeholders are able to view the activities happening for the month.
Strategise, create and implement campaign, outreaches, and marketing plan for the SHINE Award to be positioned as a competitive edge for the Institution
  • Develop and implement a strategic communication plan to establish the SHINE Award programme\'s identity, branding and create a culture of strong engagement with previous and current students enrolled with the SHINE Award Programme.
  • Advocate, create and connect meaningful and impactful information through campaign activations, roadshows, marketing and promotional activities that will cultivate the programme and enhance meaningful relationships with targeted stakeholders.
  • Maintain the relevant updates and postings on the newly developed SHINE portal to make it current, relevant and the source of information
  • Ensure communication is maintain at approved Service Level Agreement (SLA).
Social Media Postings, Website & Communication Plan
  • Take responsibility for the day-to-day activities of the communications function including Social Media and Email engagements within the agreed upon Service-Learning Agreement. This includes managing and updating information at Taylor\'s Website which is pertaining to Centre for Future Learning & Student Development.
  • Proactively create and communicate important and impactful information that seeks to promote the programme to stakeholders. This includes and not just limited to pre and posts events engagements.
Collateral Design
  • Design and create computer-based, Web-based, or multimedia-based layout, graphics, animation, video, sound and/or content for use in presentations, video productions, multimedia programs, Web sites, CDs, DVDs, and other electronic media; Works with users and project team to review options and training needs.
  • Design, develop and maintain SHINE web portal and related interfaces and resources;
  • Design printed collaterals such as banner, buntings, poster etc. and coordinate its purchases.
  • Develop layout design and concept; select and secure appropriate illustrative materials to be used.
  • Ensure consistency, accuracy and compliance with required standards of web publishing; proofread copy and maintain internal posting of policies, forms, and related data as provided.
  • Keep abreast of emerging technologies in new media, particularly design programs such as Illustrator, Photoshop, Acrobat, Dreamweaver, Flash, and so forth.
  • Ensure the university and programme\'s brand consistency is maintained in all form of collaterals.
SHINE Ambassadors & Media & Arts Clubs & Societies
  • Initiate the recruitment, selection, training and development of the SHINE Ambassadors and see to the transition of the Media & Arts Clubs & Societies
  • Organise and support leadership, character building, personal development and community based workshops that will provide students with the skills to realise their own visions for the year.
  • Assist in administrative tasks such as preparing budget requirements for organizing and implementing students retreats, activities and events; regularly monitor the expenditures of these events and provide periodical reports to Management on efficiency and effectiveness of activities organised.
  • Ensure, through supervision, that all activities organised adhere to established policies, procedures, rules and regulations related to the university student activities and affairs.
Relationship Management
  • Initiate and influence various SHINE partners to provide opportunities for the SHINE students through the SHINE portal.
  • Maintain a good and vibrant relationship with internal & external stakeholders to drive the SHINE Award Programme and increase the branding of Student Development annually.
  • Work hand in hand with Internal Marketing, Digital Marketing, Alumni Relations, and Corporate Communications in pushing news to them, updating the media bank and ensuring student success stories and department milestones reach the relevant channels.
Administrative Function: Documentation & Reporting
  • Conceptualise and develop the Student Development Annual Report which consist of each sub-department where statistics, achievements, testimonials and milestones of each sub-department is reflected.
  • Ensure all reports and post reports that show department success and milestones are published on all available communication platforms.
  • Develop/update the department communication pack when needed.
  • Ensure a collection of write ups, student testimonials and photos are well documented by month and year through a media bank and can be used for any future collaterals/audit purposes.
  • Ensure a detailed analysis report is produced on communication strategies/social media insights and all internal and external postings with key findings and recommendation for improvement to hit monthly/annual targets.
  • Maintain an accurate and updated database system related to students\' activities and provide timely update of the events in SHINE Portal, Student Portal, TU Connect, Student Development Facebook and other communication channels.
  • Create pre and post event content capturing statistics (number of attendees, satisfaction ratings), student testimonials, achievements, milestones and noteworthy information for the purpose of raising awareness via online and offline dissemination through strategic channels.
Others
  • Assist and support in the area of key signature projects as assigned.
  • Work and maintain high customer service standards in all aspects of work.
  • Undertake any other duties that may be assigned from time to time.
JOB SPECIFICATIONS

Minimum Academic/Professional Qualification
  • Degree in Mass Communication, Multimedia Design, Events Management, Marketing, Business, Psychology or equivalent
  • At least two (2) years of working experience in communications, advertising, events management, organising and coordinating activities, preferably handling student development activities in an educational institution
Competencies (Knowledge, Skills & Abilities)
  • Strong interest in communications related activities such as public relations, advertising and stakeholder\'s engagements.
  • Have strong written English and able to articulate concepts, ideas and plans effectively via written format.
  • Knowledge of the University policies, procedures, rules and regulations relating to publication and promotion activities.
  • Must be able to effectively use and have relevant experience in software applications such as graphic design, illustration, 3D design, fine art, visual art, and communication design.
  • Knowledge of and skills in using computer software e.g. Microsoft software applications
  • Social Media savvy and follow its latest technology trends with the ability to apply with immediate effect into communication strategies.
  • Ability to work with minimal supervision; meeting tight schedules and deadlines.
  • Possess good interpersonal skills with ability to communicate and maintain effective team working relationships with students and colleagues.
  • Possess good organisational and coordination skills with ability to plan, manage and facilitate several activities/events simultaneously
