JOB PURPOSEThe Executive, People and Culture is responsible to provide effective and efficient support in all people and culture related matters and activities to business units and support departments to meet organizational goals and objectives. He/She works closely with the Manager, Taylor\'s Schools (TS) P&C and Group HR in carrying out the duties and supports Taylor\'s Schools in the P&C functions where necessary.KEY RESULTS AREAS / RESPONSIBILITIESRecruitment and InductionEnsure Staff Requisition Forms (manual and system applications) are duly completed and signed off by the relevant parties with the necessary supporting documents.Put up job advertisements on local and overseas job portals wherever applicable. Assist in short listing with hiring managers.Schedule interviews and conduct reference checks for selected candidates.Be involved in interviews wherever applicable or required.Prepare all documents in relation to letters of employment for new hires.Notify the unsuccessful candidates and file their applications for future references.Coordinate and manage the induction programs for new employees.Coordinate with ICT on ICT gadgets and new staff login details.Print the Staff Identification Card for new staff.Staff ManagementCoordinate the contract renewals for contractual employees periodically.Administer the process of probationary reviews including confirmation and termination. Work with the heads of schools / managers on the timeline.Coordinate exit processes for leavers/resignees.Expatriate ManagementAdminister end-to-end the application with the Ministry of Education (MOE) or relevant government authorities for the support letters to hire new expatriates and renewals for existing expatriates.Administer end-to-end the application of new and renewals of work permits for new expatriates and dependents permits for the family members in close liaison with the Expat Services Department / Immigration Department of Malaysia.Organise flights, airport logistics and hotel stay for new expatriates.Assist new expatriates in setting bank accounts, EPF accounts and tax registration, as well as assist in annual e-filing, tax refunds and all related matters from time to time.Administer the annual home leave passage booking for existing expatriate staff.Administer baggage claims / repatriation claims and flights to exit Malaysia for leavers.Handle end-to-end of the tax clearance process, EPF withdrawal process and shortening of work permits for leavers.Staff RecordsFamiliarise with all systems/platforms and the purposes of such systems in use such as SAP, ENGAGE, CALMS, CONCUR, Google Suite and any other systems/platforms that may be in use from time to time within the School and Taylor\'s Education Group.Create, update and maintain all staff data and records in an organised manner, electronically and in hard files.Teaching PermitsApply for all staff teaching permits (Permit Mengajar) / management permits (Permit Pengelola) from Jabatan Pendidikan Negeri Selangor within the first month of employment.Coordinate yearly renewals for teaching permits on a timely basis.PayrollAdminister and compile payroll documentation for all staff such as but not limited to letter of appointments, new joiners checklists, confirmation letters, promotion letters, transfer letters, allowances, overtime, leave matters, acceptance of resignation letters, end of contract letters, exit checklists, tax clearance documents and etc. in consultation and coordination with Group HR on a timely basis following the payroll master plan.Compensation and BenefitsFamiliarise with all the benefits for staff provided by Taylor\'s Education Group and be able to provide such information to staff.Administer end-to-end of enrolment of new staff and deletion of leaving staff from all medical benefits providers\' portal / database on a timely basis.Assist staff in medical benefits matters such as claims, guarantee of payments and accessing the portals.Provide information, advice and guidance to staff in matters pertaining to the benefits.Professional DevelopmentWork with the Manager in formulating professional development plans for staff.Coordinate end-to-end the registrations for professional development programs, booking of flights and hotel and per diem allowances for staff.Compile and update staff training records / certificates and evaluation forms, electronically and in hard files.Administer end-to-end the HRDF for training programs for local staff, from the application for grant until the claiming of the funds.Performance ReviewsCoordinate the administration of performance reviews and work with line managers for all staff as guided by Group HR.Assist staff on the online performance reviews and help to solve related issues from time to time.Regular Reporting and Other DutiesMonitor and coordinate the absenteeism report daily.Prepare and coordinate with the Finance and Purchasing Department on documentations for payments of all invoices.Prepare purchase requisition forms for reimbursement claims for the new and leaving expatriate teachers. Ensure that the total claims are within the budget as per contract. Maintain records of claims and expenses incurred.Assist in providing budget figures for insurance, recruitment, permits applications and etc Manager.Manage and update the School\'s organization charts.Update job descriptions for all staff to reflect current organizational / operational changes from time to time.Update the SMIPS Portal by the Ministry of Education (MOE) in relation to staff information.Send birthday wishes to staff through daily emails.Collate and disseminate policies/projects from Taylor\'s Schools Office and Group HR to the School.Provide information and submissions of reports to Taylor\'s Schools Office and Group HR as and when required.Assist in ad-hoc projects from time to time in alignment with the School, Taylor\'s Schools Office and Group HR.III. JOB SPECIFICATIONSMINIMUM ACADEMIC/PROFESSIONAL QUALIFICATIONBachelor\'s Degree, Post Graduate Diploma, Professional Degree, Human Resource Management or equivalent.B. RELATED EXPERIENCERelevant working experience preferably in the education industryGood command of written and spoken English and Bahasa Malaysia.Ability to use Google Suite and SAP is an advantage.C. COMPETENCIES (KNOWLEDGE, SKILLS & ABILITIES)Excellent command of spoken and written English and Malay languages.Good cross-cultural, interpersonal and communication skills to interact with diverse nationalities and cultures.Excellent planning and organizing skills.Able to multitask and work under pressure.Familiar with government regulations in relation to labour laws and expatriate recruitment regulations.D.
