About the Role
We are looking for a
highly organised, proactive Executive Personal Assistant (PA)
to support a Director managing
multiple businesses
across healthcare, consulting, training, and publishing.
This role sits within the
Director's Office
, providing end-to-end support in scheduling, coordination, documentation, research, and executive logistics. It is ideal for someone who enjoys
structure, follow-through, and working closely with senior leadership
.
This is a
professional executive support role
with clear boundaries -- not a general admin or informal personal errands position.
Key Responsibilities1. Executive & Personal Schedule Management
Manage business and personal calendars
Coordinate meetings, functions, and key appointments
Prepare daily and weekly schedules in advance
Act as a gatekeeper to prioritise and protect focus time
2. Executive Communication & Follow-Up
Manage assigned emails, WhatsApp messages, and correspondence
Follow up with internal teams, partners, and vendors
Track action items and deadlines
Prepare short summaries and task trackers
3. Travel & Logistics Coordination
Book flights, accommodation, and transport
Prepare travel itineraries and meeting schedules
Coordinate site visits, branch visits, and off-site meetings
Provide driving support to meetings or functions when required
(Valid driving licence required)
Prepare professional letters, agreements, and documents
Organise investment-related documentation and correspondence
Coordinate with lawyers, accountants, bankers, and consultants
Maintain organised digital and physical filing systems
5. Accounting & Records Support (IMAN Consultancy & Training)
Track invoices, receipts, expenses, and payments
Monitor collections and outstanding items
Prepare simple financial summaries for review
Liaise with external accountants when required
6. Board, Management & Presentation Support
Prepare presentation decks for:
Board of Directors meetings
Management reviews
Strategy and planning sessions
Compile reports, data summaries, and briefing notes
7. Competitor Research & Business Analysis
Conduct competitor research and benchmarking
Analyse pricing, offerings, positioning, and campaigns
Prepare comparison tables and insight summaries
8. Social Media & Digital Presence Coordination
Manage social media posting and scheduling
Coordinate content timelines based on provided direction
Track basic engagement metrics
Ensure consistent and professional online presence
9. Professional Executive Support
Coordinate professional attire for official functions
Manage executive-related personal schedules linked to work
Support ad-hoc executive tasks within professional boundaries
Requirements
Diploma or Degree in Business, Management, Administration, Finance, Marketing, or related field
2-5 years experience
as an Executive PA, EA, Operations Support, or similar role
Strong organisational and follow-up skills
Comfortable handling confidential and sensitive information
Able to manage multiple priorities independently
Proficient in:
Google Docs, Sheets, Slides / Microsoft Office
Email, calendar tools, WhatsApp
Valid driving licence
