Job Summary
We are seeking a highly organized and proactive
Executive Secretary
to support the
Managing Director (MD)
in day-to-day administrative, operational, executive functions. The ideal candidate will manage schedules, coordinate communications, prepare documents, and ensure the MD is well-prepared for meetings and engagement. The Executive Secretary will also be responsible for
taking accurate and comprehensive minutes during meetings.
Candidates with prior experience in the
Property Development or Real Estate
industry are strongly encouraged to apply, as this role requires familiarity with industry terminology, workflows, and stakeholder coordination.
Responsibilities:
Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
Act as liaison between the MD and internal departments, external stakeholders, and government agencies.
Draft and prepare official correspondence, reports, and presentation decks. Prepare meeting agendas, take minutes, and follow up on action items.
Organize and maintain documents, records, and confidential files.
Manage and verify driver's schedules, overtime, medical claims, and petty cash submissions.
Maintain confidentiality for P&C matters including HR issues, legal documents, sales reports, and strategic project plans.
Organize and maintain a well-structured filling system (both hard copy and digital uploads to shared folders).
Perform ad-hoc tasks as assigned by management from time to time.
Requirements:
Professional certificate, Diploma, Advanced Diploma, Degree in Office Management or Secretarial.
Minimum 3 years of experience in secretarial, business administration, or office management.
Fluent in Bahasa Malaysia and English;
proficiency in Mandarin will be an advantage.
Experience in property development
industry is preferred.
Skillsets:
Comfortable interacting with all levels of management across multiple areas.
Strong knowledge of office & business management.
Good problem-solving skills, able to work under tight deadlines and handle last-minute requests.
Excellent diary management skills, with the ability to pre-empt and look ahead. Ability to prioritize work, manage time effectively, and be proactive.
Maintain a high level of discretion.
