Job Description

Role Responsibilities

GIA represents the third line of defence and provides independent assurance of the effectiveness of management's control of business activities (the first line) and of the control processes maintained by the Risk Framework Owners and Policy Owners (the second line). GIA works with the Group's other control functions, such as Finance, Risk and Compliance, but does not place unqualified reliance on their work. GIA is an independent function whose primary role is to help the Board and Executive Management to protect the assets, reputation and sustainability of the Group.

As defined in the Audit Charter, all staff in GIA must exhibit the highest level of professional objectivity in gathering, evaluating and communicating information about the activity or process being examined. They must make a balanced assessment of all the relevant circumstances and not be unduly influenced by their own interests or by others in forming judgments. GIA will adhere to the Definition of Internal Auditing, the Core Principles for the Professional Practice of Internal Auditing, Code of Ethics and the Standards for the Professional Practice of Internal Auditing that are published by the IIA. It is expected that all members of GIA strive to operate as role models for the Group's valued behaviours. GIA methodology has defined "Habits of a Human Auditor" which are aligned to the Group's valued behaviours and communicated across the function.

Audit Strategy / Delivery

  • Conduct annual planning, risk assessment and update coverage map for GBS Support Functions that fall under the portfolio responsibility;
  • Update the Continuous Risk Assessment on a regular basis to identify changes in risk profiles, and timely document these in FICA and propose changes to the assigned audit plan, as appropriate;
  • Monitor the implementation / delivery of agreed audit plan for GBS portfolios;
  • To act as Team Manager and manage Team Leader and junior colleagues on GBS audits. This entails providing clear guidance, detailed review and supervision of the audit team's works to produce quality audit deliverables.
  • Attend key GBS risk committee and governance meetings on a regular basis to provide the right challenge to ensure risks are appropriately identified and remediated;
  • Attend CAT1 audit tollgate meetings and provide feedback on audits impacting GBS; and
  • Establish and maintain effective working relationships with the Heads of GBS Support Function Units, and frequently engage to gain insights and updates on risk profiles and business developments.
Matrix People Management
  • To role model the valued behaviours and develop an environment in which positive behaviours are celebrated and poor culture is challenged;
  • Demonstrate strong leadership and ability to motivate and guide the GBS audit team;
  • Engage closely with the Heads of Audit to provide oversight and support to the GBS audit team;
  • Build a safe and inclusive environment that promote cross-functional learning and collaboration;
  • Support the GBS team in understanding the audit methodology and adherence to the auditing standards;
  • Provide guidance to new joiners on the audit approach, documentation, auditing standards; navigating through FICA system etc. when required; and
  • Provide performance feedback, as appropriate, to individual team members with their respective Line Managers.
Administrative Management
  • Support the Heads of Audit in the hiring and onboarding of their teams based in GBS MY e.g. provide insights on local talent markets and salary base, connect with recruitment vendors for briefing on open roles etc.;
  • Work closely with Talent Acquisition team on the hiring process e.g. track the open and expired Job Requisition (JR), review and provide input for proposed salary offer, track status of closed JR and candidates' Date of Joining (DOJ) etc.;
  • Work closely with local HR on the onboarding process e.g. confirm candidates' DOJ; connect with candidates to confirm arrangement for collecting laptop and headset on the first day, support the candidates on getting help from IT Support Team in case of laptop not ready etc.;
  • Support the new joiners on the onboarding journey e.g. appoint a local buddy, approve system access to relevant sites and shared drive, apply for access to external emails etc.;
  • Support and provide guidance to new joiners on general administrations e.g. expense reimbursement claims, registration for exam certification, business travel / work visa arrangement etc.;
  • Update and maintain staff record and track staff movement in GBS MY team;
  • Review, update and approve the annual Business Impact Analysis and Business Continuity Plan for GBS MY;
  • Communicate, administer and submit annual BCP test attestation report for GBS MY;
  • Review and update Service Level Agreement (SLA) signed between GBS MY and Group Internal Audit together with GIA COO team;
  • Arrange with vendors to stamp the updated SLA and make payment through eProc system;
  • Check, reconcile and approve all expenses incurred for procurement of laptop, headset; software etc.;
  • Attend to queries or ad-hoc requests from the GBS Finance, HR, Governance or other GBS functions;
  • Attend to ad-hoc queries or requests related to GBS MY from GIA MT / LT / auditors;
  • Manage and administer festival orders e.g. Angpao / Hari Raya packets, annual diaries / calendars;
  • Prepare and submit monthly GBS NFRC-GIA Update Report to the GBS Governance team; and
  • Prepare and submit quarterly GBS Conduct Forum-GIA Update to the GBS Governance team.

  • Professional audit certification preferred
