Responsibilities
Coordinating and administer recruitment process including foreign worker related matters and provide administrative support to the Human Resource Department on daily activities as well as routine task to ensure smooth operations processes.
Responsible to coordinating the recruitment process only for foreign worker including presenting the interview session by liaising with the hiring manager to ensure IT is accordingly to the company budget.
Responsible to coordinating the foreign workers including expatriate and dependents application quota & calling visa by liaising with the agency and hiring manager to ensure smoothly process and accordingly to the government rules and regulations.
Managing foreign worker administrative job such as register/renew/terminate FWCMS, Insurance, process of visa for cancellation or endorsement, arrange for FOMEMA Check-up and etc.
Monitor and track closely all passport renewal to ensure passports are renewed and available for visa renewal.
Monitor and track closely all visas for renewal purpose and to ensure visas are renewed in a timely manner before expiring (Myeg / e_PLKS).
Responsible for key in data to Microsoft Excel and ensure data accuracy. Must be proficiency in Microsoft Excel in advance level.
Update, scan & save in the system the passport and permit & employment pass accordingly for all foreign workers & expatriates.
To oversee the logistics movements of the production employees such as transportation, accommodation, clinic / hospital arrangement, bank and etc.
To handle in filling and making proper record for foreign workers attendance, Leave (vacation) Mc, Absent, Resignation, Inventory Requisition.
Responsible to update and maintain employee database for HRMS in all changes/movement of employee data (such as promotion, re-designation, transfer, increment, and other related matters).
Responsible for preparing and maintaining any letters pertaining to the hiring and movement exercises to ensure the standard.
To assist on coordinating with production head or the PIC for the requisition of PPE such as: Workers Uniform, Medicine, Stationeries, Air ticket requisition, and leave application (hometown).
Responsible to entertain any government request such as labour department, immigration, MIDA, etc. by providing the information required to ensure smoothly process.
Handling the full spectrum of recruitment of foreign workers management from the recruiting and staffing activities, manage onboarding including accommodation in the hostel.
Submission of foreign workers/expatriates\' audit documents, tax clearance documents, follow up claim/payback payments.
Other job/issues pertaining foreign workers embassy, KDN, Immigration, Fomema, etc.
Ensure new passports and permits updated accordingly to SOCSO, LHDN, Bank, Fomema.
Hostel Management:
Foreign worker dormitory application
make maximum use of the accommodation available by a rational allocation of rooms.
Reports to the Manager in case of any indiscipline or misbehaviour by the worker.
Looks into the grievances/complaints of the staff if found genuine.
Dealing with government authority for renewal purpose
Keep track the hostel agreement, utility bills and etc
