The HR & Admin Executive is responsible for supporting end-to-end human resources and administrative functions to ensure smooth daily operations of the manufacturing facility. This role covers employee lifecycle management, HR compliance, payroll support, office and factory administration, and coordination with internal and external stakeholders.
Key Responsibilities
Human Resources
Assist in end-to-end recruitment activities including job postings, screening resumes, interview coordination, and offer preparation.
Support employee onboarding, confirmation, transfer, and offboarding processes.
Maintain and update accurate employee records, HR databases, and personnel files.
Administer leave management, attendance tracking, and assist in payroll preparation.
Ensure compliance with Malaysian Employment Act, labour laws, and company HR policies.
Handle basic employee relations matters and support disciplinary documentation when required.
Administration
Manage daily office and factory administrative tasks including correspondence, filing, and document control.
Liaise with government authorities (e.g. Labour Department, EPF, SOCSO, EIS), auditors, and external service providers.
Support logistics and administrative arrangements for meetings, company events, training sessions, and audits.
Coordinate office supplies, facilities matters, and general administrative support to the manufacturing team.
Job Requirements
Diploma or Degree in Human Resources, Business Administration, or a related field.
Minimum
2-4 years of experience
in HR and administrative roles, preferably in a manufacturing or MNC environment.
Good knowledge of Malaysian employment laws, HR compliance, and statutory requirements.
Strong organizational, communication, and interpersonal skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and HR/payroll systems.
Able to work independently, handle confidential information, and manage multiple tasks effectively.
