The HR & Admin Executive is responsible for managing day-to-day HR operations, office administration, and supporting the smooth functioning of the interior design company. This role ensures effective talent management, regulatory compliance, and administrative efficiency to support both creative and operational teams.
Key Responsibilities
Human Resources
Handle end-to-end recruitment: job postings, screening, interviewing, and onboarding new employees.
Maintain employee records, contracts, and personal files.
Develop and implement HR policies in line with labor law and company culture.
Manage payroll processing, attendance, and leave records.
Coordinate training and development programs for staff.
Handle employee relations, grievances, and performance management processes.
Support company culture initiatives to foster teamwork, creativity, and productivity.
Administration
Oversee daily office operations, supplies, and facility maintenance.
Coordinate with external vendors, contractors, and service providers (e.g., IT, maintenance, office supplies).
Manage company correspondence, filing systems, and document control.
Organize meetings, prepare minutes, and handle travel arrangements when necessary.
Assist with project-related administrative tasks (e.g., contracts, permits, client documentation).
Ensure compliance with safety, health, and legal regulations for office and project sites.
Finance & Support (basic level)
Assist in processing invoices, claims, and petty cash.
Support finance/admin team with expense tracking and budget reporting.
Requirements
Diploma/Degree in Human Resources, Business Administration, or related field.
2-4 years of experience in HR and administration (experience in design, construction, or creative industry preferred).
Familiarity with Malaysian labor law and HR best practices.
Strong organizational, communication, and interpersonal skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Ability to multitask and work independently in a dynamic, creative environment.
