is responsible for providing support to the HR department, ensuring smooth and efficient operations across recruitment, onboarding, employee relations, benefits administration, compliance, and records management. The role will also involve assisting with employee engagement and company culture initiatives, making it an ideal position for someone who is organized, detail-oriented, and passionate about supporting the HR team.
and Responsibilities:
Recruitment & Talent Acquisition:
Assist to conduct preliminary screenings of resumes and applications, identifying potential candidates based on job criteria.
Assist to coordinate interview schedules, including booking rooms, managing interview timelines, and liaising with candidates.
Support the HR recruitment in conducting reference checks and managing candidate communication, ensuring a positive candidate experience.
Maintain a database of candidates for future hiring needs and update recruitment tracker.
Assist to prepare new hire documents, such as offer letters, employment agreements, and tax forms.
Assist to coordinate and facilitate onboarding sessions, ensuring that new hires receive all necessary information about company policies, benefits, and roles.
Assist to set up new hire profiles in the HRIS and ensure that all onboarding paperwork is completed accurately and in a timely manner.
Employee Records Management
Maintain and update employee files and records, including personal information, job history, benefits selections, and any other relevant documents.
Ensure records are stored securely and kept up-to-date in compliance with data protection regulations and company policies.
Compensation and Benefits :
Assist with benefits enrollment, changes, and terminations, coordinating with the benefits provider as needed.
Maintain updated records of benefits enrollments and assist in annual open enrollment processes.
Compliance & Audits :
Support the HR department in ensuring compliance with local, state, and federal labor laws, company policies, and industry regulations.
Assist with audits of HR practices and records to ensure compliance with company standards and legal requirements.
Assist the Senior HR Manager with employee benefits programs, including health insurance and other perks.
Work hand in hand with the HR team to implement initiatives and enhance employee engagement and morale.
Job Requirements and Qualifications:
Pleasing personality with excellent verbal communications in both English, Bahasa/Malay. Mandarin speaker is a plus;
Diploma or Bachelor's degree in Human Resources Management, Business Administration or any related courses.
At least a junior level with 1-2 years of experience in HR
Sound knowledge of full HR cycle
Strong interpersonal skills.
Demonstrated flexible approach and ability to work under pressure and to organise and manage workload to competing deadlines.
Able to deal and maintain confidential information
Familiarity with HRIS systems is a plus
