Role Overview
We are seeking a proactive Operations Executive to support our HR, visa, and business operations function. This role manages end-to-end visa processing, contract preparation, candidate coordination, documentation, timesheet & payroll coordination, and HR compliance activities. The ideal candidate is organised, communicative, and able to multitask in a fast-paced consulting environment.
Key Responsibilities
Visa & Compliance
Coordinate visa documentation, submission, and follow-ups for consultants (MDEC, Employment Pass (EP), SOCSO, EPF).
Handle end-to-end visa, quota, and expatriate employment documentation.
Ensure compliance with Malaysian labour, immigration, and statutory regulations.
Contract & Documentation
Prepare and issue contracts for employees and consultants.
Maintain and update records, agreements, and supporting documents.
Track contract renewals and ensure timely extensions.
HR & Administration
Support onboarding and offboarding of employees and consultants.
Maintain HR records, leave tracking, and HR correspondence.
Assist with employee engagement, policy communication, and compliance updates.
Timesheet & Payroll Coordination
Collect and verify consultant timesheets.
Liaise with finance for invoice preparation and payroll processing.
Ensure timely submission of SOCSO and EPF contributions.
Data Management & Reporting
Maintain accurate data in internal systems and trackers.
Prepare weekly and monthly operational reports for management.
General Operations
Support procurement of office supplies and logistics when required.
Coordinate with internal teams to ensure smooth daily operations.
Assist with consultant and client queries, events, or travel coordination as needed.

Maintain documentation for quota submissions, approvals, and renewals in compliance with MDEC and immigration guidelines.
Requirements
Diploma/Degree in Business, HR, or related field.
5-7 years of experience in operations, HR, or administrative roles.
Strong communication, coordination, and multitasking skills.
Proficient in MS Office (Excel, Word, PowerPoint).
Organised, detail-oriented, and able to manage multiple priorities.
Ability to work independently with minimal supervision.
Good to Have
Experience in IT recruitment or consulting operations.
Knowledge of visa processing, MDEC procedures, and HR compliance.
Familiarity with timesheet and invoicing systems.
