It\xe2\x80\x99s an opportunity to be part of something special.About the roleAs the Quality Performance & Change Management Manager, this role will be responsible for designing and establishing comprehensive frameworks to ensure service quality, regulatory compliance, and ongoing professional development leading to become a high performing team. This role overseeing the execution of quality assurance and compliance audits. The incumbent plays a strategic role in orchestrating training programs to enhance capabilities of HR People Service members handling tasks through tickets and chats. By cultivating a culture of continuous improvement, this incumbent contributes significantly to the centre\xe2\x80\x99s operational excellence, aligning services with industry standards and regulatory requirements while fostering a dynamic learning environment for the HR people services team. This role will be based in Malaysia and reports into HR Regional Capabilities Centre, APAC.Key responsibilitiesQuality:

  • Strategically Drive HR Quality: Lead the strategic planning and execution of quality initiatives within the Regional Capabilities Centre. Develop and implement comprehensive quality frameworks, policies, and procedures to ensure consistent high-quality processes.
  • Define Quality Standards: Establish clear quality standards, key performance indicators (KPIs), and metrics for processes within the Regional Capabilities Centre.
  • Process improvement: Identify process improvement opportunities to streamline workflows, enhance efficiency, and eliminate waste while maintaining a focus on quality outcomes. Establish, follow, and achieve targets and plans to close performance gaps, identify key areas for optimization, and implement solutions in partnership with the Effectiveness Lead.
  • Data-driven Insights: Analyze audit and process data, as well as trends, to derive actionable insights for continuous improvement. Present data-driven recommendations to Regional Capabilities Centre Leadership for establishing and enhancing quality standards within the Centre.
Stakeholder engagement: Engage with the main stakeholders across the organization to gather feedback, understand pain points, and address concerns related to the processes and changes in the Regional Capabilities Centre through VOC Management and other tools.Innovation and best practices: Stay updated on industry trends and best practices in quality, continuously seeking opportunities to innovate processes and enhance the overall HR experience.Compliance:
  • Business Continuity Plan (BCP) Management: Develop and oversee the implementation of a comprehensive Business Continuity Plan (BCP) to guarantee the organization\'s capacity to respond to and recover from disruptions effectively. Continuously monitor and update the BCP, conduct regular drills, and collaborate with relevant teams to ensure preparedness and resilience in the event of potential disruptions.
  • Internal and External Audit Management: Coordinate and lead the planning and execution of internal and external audits to ensure adherence to regulations and standards. Collaborate with relevant teams to collect and provide necessary information, facilitate process, and document reviews, and ensure that audit findings and recommendations are appropriately addressed.
  • Employee File Management across APAC: Overseeing the management of employee files throughout the APAC region, including the establishment of well-defined processes for each country. Ensures the proper handling of files to meet legal and compliance requirements, as well as the timely retrieval of files upon request.
  • Accountable for the end-to-end execution of our processes in a manner that ensures full compliance. This involves designing and implementing necessary controls to safeguard adherence to regulatory requirements and internal standards. Vigilantly monitor and adjust, playing a key role in meeting and exceeding established standards.
Training:
  • Seamlessly link the outcomes of quality assessments with training needs to bridge gaps and enhance team knowledge. While you may not be directly responsible for creating training content or delivery, you play a pivotal role in identifying these needs through the Quality Framework and coordinating the delivery of essential training sessions. Clear ways of working must be defined by this role to ensure this adds value to the operation.
  • Utilize insights from quality assessments to identify gaps in knowledge, skills, and performance within the team. Work closely with the People Services Lead to align training needs with the identified gaps in team performance.
  • Training inventory: Ensure we have enough resources trained in the different processes who will be comfortable with execution.
Essential Qualifications and skills
  • Experience working in an HR Shared Services environment. Multinational preferred.
  • Experience in Quality, Risk Management, Compliance and/or Audit roles.
  • Demonstrated analytical skills and experience working with metrics.
  • Excellent English (spoken and written) language capability.
  • Sound understanding of HR policies and processes across the Region.
  • Excellent Interpersonal and communication skills, problem solving and influencing skills with the ability to build effective relationships.
  • Strong change management, coaching, interpersonal, & proven stakeholders management ability.
  • Proven ability to lead and influence others without direct line responsibility and to manage in a matrix environment.
