This is a permanent full-time position within Proforest Malaysia to support its activities across the
Southeast Asia Region. The role of the HR & Admin Assistant is to support and work closely with the
HR Manager to maintain good HR procedures and practices in line with Proforest\xe2\x80\x99s global requirements. This position will also assist with office administration matters. Responsibilities
This position will be primarily responsible for various day-to-day HR and Admin activities covering recruitment, people management, people activities and operations support. The more specific tasks are as follows: A. Human Resources (HR)
Recruitment:
  • Working with the HR Manager and relevant line managers in identifying future hiring needs and assisting with developing job descriptions and specifications.
  • Assisting the HR manager in conducting the end-to-end recruitment process as directed.
  • Advertising for suitable candidates through job portals, databases, online employment forums, social media, etc.
  • Arranging interviews with candidates, involving identified Proforest interviewers, and booking suitable times and venue.
People Management:
  • Day-to-day HR Data Administration \xe2\x80\x93 responsible for all data entry and maintenance activities for
HR database/ systems, including new hires, rehires, conversions, personnel changes, separation and terminations etc.
  • Validate data from time to time and ensure data is entered in the appropriate HR systems in an effective and accurate manner.
  • Provide first level support to employees on HR service-related issues.
  • Assist the HR Manager to provide operational support for onboarding/off-boarding.
  • Update relevant HR weekly and monthly reports as directed by the HR Manager.
  • Work with line managers to monitor employee performance related to standards of conduct.
  • Assist in HR administration, procedures & policies.
  • Carry out other HR-related tasks as assigned from time to time by the HR Manager.
B. Office Administration
  • Ensure that the office is maintained in good order for a productive working environment.
  • Manage office supplies & equipment (printer & printing paper, cleaning products, sundry items, beverages, snacks etc.)
  • Ensure all office equipment maintenance is carried out as scheduled.
  • Coordinate the travel arrangements for the office.
  • Coordinate the office/building access for new joiners and visitors.
  • Manage post, deliveries, couriers, telephone calls, etc.
  • Liaise and work with contractors for any office repairs or renovations as required.
  • Carry out other administrative tasks as assigned by the Regional Operations Director.
Qualifications, Experience, Skills:
Essential criteria:
  • At least a Diploma in HR management, Business Studies, Administration, Psychology or equivalent.
  • Fluent in English and Bahasa Malaysia.
  • Demonstrated skills in using Microsoft Office (Word, Excel & Power Point).
  • Possess good interpersonal & communication skills.
  • High level of confidentiality and respect for the data privacy of employee records.
Preferable:
  • At least 2-3 years working experience in HR or similar field.
  • Experience in using any HR software.
  • Competence in other local languages would be an added advantage.
