Job Description

We are looking for a creative, fun and motivated fresh graduate or junior executive to join us in this role in expanding our business globally!



JOB RESPONSIBILITIES:



Manage project and operation inventory, office supplies, and equipment maintenance to ensure a smooth, well-organized workspace. Assist in procurement by communicating with vendors and suppliers to source project materials and office items. Track, record, and maintain accurate inventory levels for both project and operational needs, including conducting regular stock checks, reconciling discrepancies, and updating records promptly. Coordinate inventory movement from vendors to the factory and from the factory to clients, ensuring proper documentation, accurate tracking, and timely delivery. Handle packing, unpacking, organizing, and preparing items for delivery as needed. Perform general administrative duties such as handling correspondence, arranging meetings, managing office documentation, and supporting daily operational tasks. Maintain and organize physical and digital filing systems, ensuring accurate records of company activities, documents, and employee files. Assist with onboarding new employees by preparing required documents and setting up their workstations. Monitor and record expenses, process invoices and expense reports for approval, and help ensure spending remains within budget. File required reports or documentation with relevant authorities when necessary. Coordinate with the IT team to ensure office systems and tools are functioning effectively; troubleshoot minor technical issues or escalate them when needed.

JOB REQUIREMENTS



Ability to speak, read, and write in Mandarin to communicate with China suppliers

Some experience in the role is preferred and having a passion for administrative role is a must Attention to detail and good organization skills is essential Strong multitasking skills. Excellent communication and interpersonal abilities. Proficiency in office software (e.g., Microsoft Office, Google Workspace). Ability to maintain confidentiality and professionalism. Problem-solving mindset and proactive attitude. Engaging personality, great sense of humor, and willingness to have fun!
