Job Description

We are looking for a Junior Accounts & Admin Executive to assist in daily accounting and administrative operations. The role supports the Director in handling financial documentation, payment processing, and general office administration to ensure smooth day-to-day operations.

Accounts Responsibilities:



Assist the Director in monitoring and updating actual and forecast cash flow. Assist in monitoring and updating project expenses, including data entry of timesheet, project costing, etc. Maintain accurate and up-to-date financial records with proper documentation. Prepare and process monthly invoices to clients, bills, receipts, staff claims, and payments. Reconcile bank statements and manage petty cash accounts. Handle accounts payable and receivable, including monthly project claim schedules. Ensure timely collection of receivables and settlement of payables. Communicate with clients and vendors on billing, payments, and other financial matters.

Admin Responsibilities:



1. Office & Facilities Management



Upkeep the cleanliness & tidiness of the office to ensure a good working environment. Monitor and replenish office supplies when needed. Coordinate maintenance or service requests for office facilities, equipment, and email management. Handle door access, security, courier, postage, mailbox, and general office logistics.

2. Administrative Support



Provide administrative support to the Director and team. Handle incoming phone calls, emails, and visitors professionally. Assist in document preparation, filing, and general correspondence. Support in legislation matter, such as business license renewal, MPKL related matter and etc.

3. Recruitment and Onboarding Support



Assist in the recruitment process, including job postings, resume screening, and scheduling interviews. Assist in conducting new employee orientations and facilitate the onboarding process. Assist in the preparation and processing of employment contracts and offer letters. Assist in the resigned employee exit process.

4. Document Management



Maintain and update company records, databases, and documents. Ensure proper filing and safekeeping of important documents. Handle confidential information with professionalism and discretion. Assist in the preparation of documentation and other ad-hoc tasks as requested and instructed by the Manager.

Job Requirements:



Minimum

Diploma in Accounting, Business Administration, or equivalent

. Preferably

1-2 years of working experience

in accounting or admin (fresh graduates are welcome to apply). Proficient in

Microsoft Office (Excel, Word)

; familiarity with accounting software and e-Invoicing principle is an advantage. Able to communicate in

Mandarin, English, and Bahasa Malaysia

(verbal and written). Responsible, organized, detail-oriented, and willing to learn. A good team player with a positive working attitude.

Pay: RM2,300.00 - RM3,500.00 per month
