Alta Vista Asia Sdn. Bhd. is a G7 construction company known for delivering high-quality and landmark infrastructure projects across Malaysia. We are currently seeking an experienced Junior Contract Executive to involve in all pre- and post-contract activities within the construction projects. The role involves quantity take-off, tender preparation, sourcing subcontractors and supporting contract administration to ensure projects are delivered efficiently, on time and within budget.
Responsibilities (but not limited to):
1. Quantity Take-Off & Cost Estimation
- Prepare accurate quantity take-offs and cost estimates based on drawings and specifications.
- Assist in developing cost estimates and bills of quantities (BQ) for tender and project budgeting purposes.
- Ensure accuracy and consistency in all measurement and costing works.
2. Tender Preparation & Submission
- Support the preparation of tender documents, including cost breakdowns, rates, and supporting data.
- Coordinate with internal departments to gather necessary technical and commercial inputs.
- Assist in compiling and submitting tender proposals within stipulated deadlines.
3. Subcontractor Sourcing & Evaluation
- Identify and source potential subcontractors and suppliers for various trade works.
- Request and evaluate quotations to ensure competitive pricing and quality standards.
- Maintain and update a database of qualified vendors for future tender and project needs.
- To prepare Letter of Award to successful subcontractor.
4. Contract Documentation & Administration
- Assist in the preparation and administration of contract documents, purchase orders, and agreements.
- Support in managing variation orders, progress claims, interim payments, and final accounts.
- Ensure all documentation complies with company and contractual requirements.
5. Cost Monitoring & Reporting
- Track and monitor project costs against budgets and forecasts.
- Prepare cost reports, progress summaries, and financial updates for management review.
- Highlight cost variances or potential risks to the Contract Manager for timely action.
6. Coordination & Communication
- Liaise with project teams, consultants, and suppliers to resolve contractual and commercial issues.
- Facilitate smooth communication flow between internal departments for efficient project delivery.
- Attend site meetings and provide contract-related input when required.
7. Progress Payment
- To prepare subcontractor progress payment.
- To measure work done using ACAD.
- To carry out site evaluation and joint site measurement with subcontracts.
8. Final Payment
- To ensure all documentation and measurement in order before final payment.
- Issue SOFA to subcontractor once the subcontract work is completed.
9. Support to Contract Manager
- Provide assistance in all pre- and post-contract functions as directed by the Contract Manager.
- Participate in continuous improvement initiatives related to contract management processes.
- Perform any other duties assigned to support the Contracts Department's objectives.
Requirements:
Diploma or Bachelor's Degree in Quantity Surveying, Construction Management, or a related field.
1-3 years of relevant experience in the construction industry.
Proficient in AutoCAD (ACAD) and Microsoft Excel.
Knowledge of tendering procedures, cost estimation and contract documentation.
Strong analytical, communication and organizational skills.
Self-motivated, detail-oriented and able to work independently.
Fluent in English & Bahasa Malaysia
