Responsibilities:

  • General Administration
- Provide assistance and support to the legal team and be a leader, promote and genuinely live and breathe the PropertyGuru values;
- Filing electronic documents;
- Filing entries in compliance registers for Gifts, Conflict of Interest, attendance list of legal training and others;
- Expense reporting on external legal fee expenditure and accruals, tracking payment of invoices, filing and retrieval of documents to support payments and monitoring expenditure against quotations from external providers;
- Seeking quotations from vendors, onboarding selected vendors (eg law firms, company secretary firms, translators, etc);
- Liaising with internal authorised signatories for execution of agreements (eg via Adobe E-Sign or wet inked signatures), providing signed copies to stakeholders;
- Arranging translations of standard terms and conditions, templates and other legal documents; co-ordinating with other departments to ensure updates are hosted to the PG websites or repository of documents;
- Responding to internal requests for standard legal templates and documents * Project management of Legal team\'s initiatives on change management and compliance activities; keeping the lawyers on time, on budget and on track with key deliverables.
  • Planning and arranging events, meetings and projects, whether internal or external, domestic or regional ie Legal Team meetings.
  • Management of Corporate secretarial work conducted by the Legal team for PropertyGuru:
Assist in company secretarial and compliance matters relating to PropertyGuru and manage company secretarial matters for entities in Asia, including Singapore, India, Malaysia and Thailand: * Co-ordinate directors\' signatories for overseas subsidiary documentation including liaising with overseas offices;
  • Liaise with external regional Company Secretaries;
  • Manage PropertyGuru\'s subsidiary company registers to ensure up to date and accurate for parent and subsidiary companies;
  • Prepare documents for lodgement with Registry of Companies on instruction by Legal Team;
  • Assist in administration associated with director appointments, resignations and change in interests;.
  • Assist with external reporting- working closely with the company Finance team on a range of issues including:
  • Company statutory end of year reporting
Changes in company share structure
Assist with additional secretariat tasks as instructed by the Legal Team * Board and Committee at the PropertyGuru subsidiary level: assist the Legal team in the management of board documentation:
  • Assist in the collation and distribution of board and committee papers;
  • Follow up with key stakeholders in relation to action items;
  • Liaise with key stakeholders regarding board paper delivery and related issues;
  • Assist key stakeholders with necessary board and committee information.
  • Responding to internal requests for corporate forms and documents for business operational requirements (eg bank account openings).
Requirements:
  • Accustomed to working productively in a fast paced and agile environment;
  • Accustomed to approaching tricky situations through a solutions-focused lens;
  • A minimum of 5 years experience in an Executive Assistant including liaising with C-suite
  • Executives and their teams;
  • A minimum of 3 years\' experience with corporate secretarial matters; company secretarial qualifications is preferable;
  • Experience in providing regional administrative support to teams, located abroad;
  • Experience with dealing with highly sensitive information when it comes to Board matters.
