Job Description


We are seeking a bright and energetic Legal Secretary for the Dispute Resolution and Employment PG. The secretary will play a key role in delivering administrative and secretarial support to their Assigned Lawyers (AL) and other team members within the practice group, as required. Responsibilities Conduct conflict checks and assist in client/matter intake processes. Draft Letters of Engagement and manage time entry according to firm requirements. Maintain up-to-date electronic and physical filing of records, documents, and correspondence. Conduct company searches and assist in due diligence exercises. Draft and review correspondence, letters, and documents. Support AL in client-related activities and proactive client service. Assist in document management, ensuring accurate court date reflection, timely service of documents, and adherence to file protocols. Administrative duties include maintaining databases, scheduling meetings, coordinating events, and providing support for billing processes. Flexibility in handling various tasks, including travel arrangements, is essential. Additionally, collaborate with other practice groups and contribute to office initiatives as assigned. Provide full cooperation to other practice groups and Business Services for seamless client service delivery and business operations. Provide absence coverage to buddy secretary/secretaries as necessary. Qualifications Bachelor\'s Degree from a recognised academic institution in any field; diploma graduates with experience are encouraged to apply. Minimum 2 years of experience in administration/secretarial roles; prior litigation experience is an added advantage. Excellent oral and written communication skills in English and Bahasa Malaysia. Ability to adapt and thrive in a fast-paced environment with limited supervision. Attention to detail is crucial, with a demonstrated commitment to discretion and ethical conduct. Strong initiative, responsibility, and time management/prioritisation skills. Proficient in Microsoft Office (Outlook, Excel, Word, and PowerPoint). Fast and accurate typing skills, including the ability to draft basic letters in business English. Highly collaborative, IT-savvy, and capable of learning new systems quickly. Preferred Skills: Demonstrated ability to work independently with limited supervision. Effective multitasking and prioritisation in managing diverse work demands. Comfortable working under pressure and meeting tight deadlines. Strong interpersonal, organisational, and communication skills. Flexibility with time, including the ability to work outside regular office hours when necessary. Open to Malaysians ONLY.
