to manage daily haulage, delivery scheduling, and logistics operations. This role ensures that all transport activities run smoothly, efficiently, and in full compliance with company and regulatory requirements, while maintaining high standards of customer service.
Key Responsibilities
1. Planning & Coordination
Plan, schedule, and coordinate daily and weekly haulage and delivery operations based on the ROT and customer requirements.
Allocate trips to drivers and trucks, ensuring timely departures and deliveries.
Adjust delivery schedules to accommodate urgent requests or unforeseen delays.
Coordinate with the sales, customer service, drivers and customers, to ensure seamless order fulfillment.
2. Delivery Operations & Tracking
Monitor transportation activities, track delivery progress, and provide regular updates to internal teams and customers.
Communicate expected arrival times, delays, or issues promptly to maintain transparency and customer satisfaction.
Handle and resolve delivery or collection problems efficiently to minimize downtime.
Ensure delivery targets and KPIs are met while maintaining excellent service standards.
3. Documentation & Compliance
Prepare and verify consignment notes, delivery schedules, work tickets, and supporting documentation for accuracy and completeness.
Maintain delivery, haulage, and compliance records (including safety requirements, port passes, and regulatory documents).
Ensure all drivers hold valid licenses and required permits before reporting for duty.
Manage Asolute system updates and ensure all data are recorded accurately within tolerance limits.
4. Vehicle & Driver Management
Plan and monitor vehicle maintenance, repairs, and PUSPAKOM inspection schedules in coordination with the fleet team.
Verify and ensure timely approval of invoices related to DGC, repairs and maintenance, tolls, and diesel.
Monitor driver performance, attendance, and trip completion; verify driver trip commissions.
Oversee site operations and coordinate long-haul movements, unstuffing activities, and equipment rentals as required.
5. Communication & Customer Service
Liaise with customers to confirm delivery requirements, schedules, and gather service feedback.
Build and maintain strong relationships with key clients, depots, and suppliers to ensure operational efficiency.
Provide timely and professional responses to customer inquiries and resolve haulage issues promptly.
6. Reporting & Continuous Improvement
Generate and distribute daily, weekly, and monthly delivery and performance reports.
Track key logistics metrics such as truck utilization, fuel usage, and on-time delivery rates.
Identify bottlenecks, propose improvements, and contribute to process optimization and operational efficiency initiatives.
Support and guide the operations team as needed.
7. Fuel Cost Coordination
Monitor fuel usage (BHP, Shell, and Touch 'n Go) and prepare monthly reports for management approval.
Ensure reconciliation data between the portal and Asolute system are accurate, consistent, and logical.
8. Other Duties
Perform any other tasks or projects as assigned by management or immediate superiors.

Requirements
Education:
Diploma or Bachelor's Degree in Logistics, Supply Chain Management, or a related field.
Experience:
Minimum
2 years
of working experience in logistics coordination, haulage, delivery planning, or transport scheduling (preferably within the transportation or haulage industry).
Technical Skills:
Proficient in
Microsoft Excel

, and logistics planning tools.
Familiarity with different truck types and their load capacities.
Soft Skills:
Strong organizational and problem-solving abilities with attention to detail.
Able to multitask and meet tight deadlines in a fast-paced environment.
Excellent communication and interpersonal skills to coordinate effectively with drivers, operations staff, and management.
High level of integrity and ability to handle confidential information discreetly.

Able to work both independently with minimal supervision and collaboratively as part of a team.
Willing to
support the operations team on a rotational basis after working hours
when necessary.
