Job Description


The Operations Manager is tactically and operationally responsible for one of the largest sites managed by JLL in Asia, a site of 400k sqm with all services on this site in-scope. Acts as 2nd in command (2IC) to the Account Director. The key assignment is to enable the growth the client is going through, improve the JLL performance for this client and facilitate the growth of the functional managers into all round leaders.The Operations Manager must be an outstanding leader with a Customer Service mind set and a keen ability to think tactically, innovatively and creatively to the benefit of both JLL and the client. The Operations Manager is a strong people and change manager, able to make informed decisions and manage risk. The operations manager has the capability to replace the Account Director if and when necessary and is the logical successor to the Account Director.The Operations Manager heads a team of functional managers to deliver services in accordance to the contract scope of work and KPI\xe2\x80\x99s, including engineering, quality, and On Demand/construction projects. He or she drives continuous improvement, develops innovations and builds a strong team between JLL, its vendor partners and the clients. The position ensures a safe, clean, and comfortable working environment for both the client, its contingent workers and JLL employees.Below are the key deliverables for the role:Deliver high quality service execution for all hard and soft services under the IFM scope to effectively meet all desired outcomes on time and with a high level of traceability and transparency in reporting.Implement comprehensive quality management programme for regional consistency and to minimise defects, re-work and risk of plant failure or interruption, with continuous quality improvement practices.Interface directly with clients to identify and analyse critical needs, define problems, and develop specifications for solution process.Plan and execute transformation and innovation projects focused on new technology development, evaluation, and application to both existing and emerging risks.Implement Governance process at site level, leveraging functional teams and active collaboration with clients.Drive efficient project planning, prioritization and change controls to optimize resources and meet deadlines according to ad-hoc project demand.Develop, establish, and control the methods, procedures, and systems to increase overall effectiveness of facilities management, including detailed awareness of system capacity and workstation and track ongoing utilisation.Constantly engage and provide cost-effective and innovative solutions to minimize client cost, safety improvement or enhance existing efficiency, reduce workload, and implement automation process.Risk ManagementImplement risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental.Ensure data integrity of all information and comply with the audit process periodically.Assist in the development of guidelines and strategies to protect health and safety of staff and others, protect client and JLL reputations.Develop disaster recovery and business continuity plan and ensure implementation.Ensure escalation procedures are in place and observed for incident and problem reporting including advice to client, account teams, Regional Managers, and insurance company.Continuous ImprovementPromotes continuous improvement & InnovationRole models a detailed, proactive and ownership focused mind-setPromote and initiate state of Art Technology in all aspects of operations.Lead & DeliverCreate a high-performing, integrated team who are committed to delivering exceptional client results.Complies with all requirements of the contract and meets or exceeds Key Performance IndicatorsPromote open, constructive, and collaborative relations with clients, superiors, subordinates, peers and vendors.Build strong and successful strategic partnerships between client and JLL, on- and off the direct team.Mentor the team and develop succession planning within the account.Prioritize safety and promote JLL EHS cultureProcurement and Vendor ManagementReview Scope of Work for reliability improvement projects, incorporating feasibility, cost and risk assessment, and coordinate with Procurement for commercial due diligence.Review site verifications, SoW clarification and technical assessment, and ensure process flow in accordance with supplier engagement guidelines and commercial process.Review Purchase Order Requests, stakeholder approvals, ensuring timely billing or invoicing and closure.Review contractor performance management programs in accordance to defined CPI/KPI deliverables.Relationship ManagementEstablish strong working relationships with all with key stakeholders (Intel CS, Business Units, Project, IT, BES etc.) for successful completion and effective communication.Pro-actively develops and manages client and business unit relationships, ensuring that the expected service levels are achieved for the site.Timely updates the clients and aligns on scope, budget and expectation.Leads by example and grooms the team in achieving maximum client satisfaction levels.Ability to extract and translate customer expectations into actionable strategic actionsConvinces clients stakeholders based on data, where needed challenges the client in a constructive mannerExhibits client and result orientationDetail OrientedProactively manages all facility services and communication in accordance with account and client standard processes, procedures, and KPIs to ensure superior customer satisfaction and performance levels.Ensures compliance with portfolio-wide initiatives, local, state and federal laws, and governing regulations that pertain to the operating of facilities on behalf of the client.Achieves or exceeds savings targets and ensure effective, efficient and economic operation of assigned responsibilities.Develops initiatives and strategies that lead to cost savings and eventual profitability of the account.
