  • Implementing and reviewing payroll processing systems to ensure timely and accurate processing of payroll transactions and to comply with statutory requirements, meeting contribution and updating staff data in the HR management system (HRMS)
  • Ensuring compliance with industry and internal policies wage and hour laws and best practices
  • Facilitating audits by providing records and documentation to auditors
  • Preparing and monitoring department budget
  • Resolving issues and responding to payroll-related questions and grievances
  • Ensuring satisfactory management of internal customer needs and satisfaction levels by providing timely responses
  • Ensuring proper management of HR data analytics and reporting accuracy and efficiency
  • Ensuring the development and generation of dashboards and reports, documentations and user manuals using appropriate reporting tools
  • Overseeing day-to-day management of HRMS- and data-related queries
  • Overseeing management of vendors activities related to design, development, quality and implementation of organization application/systems
  • Overseeing the management and documentation on internal update to HR systems and liaise with IT and, if applicable, raise change request to third-party system vendor on system enhancement
  • Leading implementation of new HRMS project initiatives, and evaluating HRMS solution designs to enhance efficiency and effectiveness (scope, goals, budgets, plans and schedules)
  • Ensuring that all HR data (i.e., employee profile, organization data, recruitment application data, workforce plan, performance management, payroll, learning, career development, compensation and benefits, job change, transfer, contract staff) are secured in HRMS and integrated to maintain a single source of truth
  • Leading awareness related to HRMS - ensure trainings to administrative users and end users in order to have the sufficient knowledge on HRMS usage
  • Overseeing and monitoring benefit administration tasks to ensure the efficient deployment of employee benefits
  • Developing and implementing policies and processes for handling personal data in compliance with Personal Data Protection (PDPA) 2010
  • Keeping up-to-date on PDPA latest changes and communicating policies to stakeholders
  • Liaising with the external/internal stakeholders on PDPA matters (if necessary)
  • Handling personal data protection-related queries and complaints, and alerting management of any personal data risks
REQUIREMENTSEducation:
  • Degree in Human Resources or equivalent
Work Experience:
  • Minimum 7 years\' of relevant experience including 5 years\' in payroll preferably in manufacturing
Technical and Professional Knowledge:
  • Managing Payroll function - Payroll process, contribution, and structures e.g., EPF, SOCSO, Income tax submissions for local workers and board of directors
  • Foreign labor tax submissions and clearance
  • HR Policies and Legislation Framework Management - Malaysian Labor Law
  • Payroll compliance to audit procedures
  • HRMS Payroll System
  • Calculation of overtime formulas, prorated annual leave etc.
