Job Description

Key Responsibilities :



1. Payroll & HR Operations

Manage full-cycle monthly payroll processing including data collection, overtime, allowances, deductions, claims, and leave updates.

Ensure accurate calculation and submission of EPF, SOCSO, EIS, PCB, and other statutory contributions.

Maintain and update employee attendance and leave records, HR database, personnel files, and HR documentation.

Prepare HR letters such as offer letters, appointment letters, confirmation letters, warning letters, and other official documents.

Support HR policy implementation, compliance monitoring, and ensure HR practices align with Malaysia regulations.

Handle matters related to foreign worker permits, renewals, and documentation if required.

2. Recruitment & Employee Lifecycle Management

Assist with the full recruitment process including job postings, interview scheduling, screening, and candidate communication.

Manage employee onboarding: orientation, documentation, system setup, and induction.

Support confirmation review process, performance evaluations, and probation tracking.

Assist in managing employee offboarding, including exit interviews, clearance, and final payroll.

3. Employee Relations & Engagement

Support employee engagement activities, welfare programs, and internal communication initiatives.

Serve as a point-of-contact for HR-related queries, ensuring timely response while maintaining confidentiality.

Assist in organizing staff activities, training sessions, company events, and culture-building initiatives.

4. Administration (Secondary Scope)

Manage office administration including office supplies, maintenance, vendor coordination, and asset management.

Track maintenance contracts and ensure timely renewals.

Assist in preparing payments to vendors (invoices, payment vouchers, receipts, documentation).

Handle accommodation arrangements for staff or management when required.

Perform general clerical duties such as filing, mailing, photocopying, and document preparation.

Knowledge and Skill Requirements:



College degree or above, preferably in Human Resource Management, Business Administration, or related fields.

Minimum 3 years of hands-on HR experience, covering payroll, recruitment, HR operations, and employee records management.

Strong knowledge of Malaysian labor laws, statutory contributions (EPF, SOCSO, EIS), payroll compliance, and HR policies.

Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with HRIS/payroll systems is an added advantage.

Strong communication skills with the ability to work collaboratively and build good internal relationships.

Highly organized, responsible, and able to handle sensitive HR information with confidentiality.

Fast learner, proactive, and capable of managing multiple priorities independently.
