We are currently the biggest player in Malaysia and aim to scale out our product offering across more verticals and geographies.We are growing fast - this is an extremely exciting moment for SOCAR!What will you be engaged in?We are committed to supporting our international workforce by providing comprehensive mobility solutions and ensuring compliance with immigration regulations and visa processes.As the Mobility Specialist for Malaysia and Indonesia, you will be responsible for managing all aspects of expatriate matters within the country, ensuring seamless relocation and compliance with immigration requirements. You will work closely with headquarters or the HR team to facilitate smooth transitions for international assignees and keep internal stakeholders informed of any changes or issues related to immigration regulations and visa processes.

  • Responsible for the end to end expatriate matters in Malaysia that are in coordination with the headquarters or with the PC&T Team.
  • Responsibility for completing the expat process from planning, pass application, and timely renewal of work permit and any changes in the official employment documentation.
  • Liaise with government authorities (e.g. Immigration, MDEC, etc.)
  • Prepare and maintain an effective tracker for employee passport renewals, work visa renewals, foreign travel visas, etc
  • Provide excellent employee experience on relocation (flight booking, immigration, transfer, housing, and related expat topics)
  • Update internal parties on any issues/changes to Immigration requirements, regulations, or visa process
  • Maintain compliance and audit-ready case files in line with internal policies and country-specific laws and regulations.
Front Desk and Administration
  • Audit vendor invoices and billing as received. Check for accuracy and complete information in accordance with SOCAR\'s governance and vendor management policies.
  • Handles phone inquiries, taking down and relaying messages promptly.
  • Handle queries from the public and customers
  • Organizing mail distribution. Recording of incoming and outgoing mails.
  • Be responsible for contacting courier services and managing outgoing mail.
  • Assist filling for office admin and HR.
  • Assist the People and Culture team in planning, organizing and executing internal activities and events.
  • Manage facilities payments such as phone line, Internet, water filter, and other related office or facilities expenses.
  • Manage hotel, flight, event venue booking, and restaurant reservations when necessary.
  • Manage full administrative tasks for HRDCorp -applying for grants and claims etc.
  • Liaising and following up with training vendors/ trainers on documentation to comply with HRDC\'s requirements.
  • Maintain and keep track of the training/learning expenses vs. available funds in HRDC\'s kitty.
Office Experience
  • Act as a liaison between employees and management to gather feedback, address concerns and communicate relevant information regarding office policies, initiatives, and events. Utilize various communication channels to promote upcoming activities and encourage participation @SoFam.
  • Continuous Improvement- regularly assess the effectiveness of office experience initiatives through surveys, feedback sessions, and performance metrics. Identify areas for improvement and propose innovative solutions to enhance employee engagement and satisfaction.
  • Cross-functional Collaboration- Collaborate with PC&T, Procurement, Legal and Governance, Finance, and other relevant departments to align office experience initiatives with broader organizational goals and objectives. Provide support and guidance to ensure that office policies and procedures are conducive to a positive work environment.
  • Onboarding: track and update the tracker of the onboarding items for the welcome pack and prepare a welcome pack.
  • Monitor and track pantry item inventory i.e. beverages and snacks.
  • Liaise with the vendor to place the order for any pantry and office equipment purchases.
  • Immediately report all the damage to the IT & Facilities Manager.
  • Proactively suggest, plan and provide assistance to Culture and Engagement vertical as per when required.
  • Assist and undertake any ad hoc duties assigned as and when required.

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • Proven experience in a similar role, preferably within a fast-paced and dynamic work environment.
  • Strong interpersonal skills with the ability to build rapport and effectively engage with employees at all levels of the organization.
  • Excellent organizational and project management skills with the ability to multitask and prioritize competing demands.
  • Creative mindset with a passion for designing innovative experiences and activities that resonate with diverse audiences.
  • Strong communication skills, both verbal and written, with the ability to articulate ideas clearly and persuasively.
  • Proficiency in Microsoft Office Suite and familiarity with event planning software/tools such as Trello is a plus.
