Job Responsibilities:
Front Desk / Reception
Be the first point of contact for visitors, vendors and contractors.
Answer and manage incoming calls, transfer calls appropriately and take messages.
Receive, check and process deliveries and courier items.
Facilitate refreshments and meeting arrangements for visitors and internal meetings.
Office Administration
Manage office filing systems, documents, and general office organization.
Handle office supplies, pantry items, courier services, and vendor coordination.
Monitor cleaners' duties and manage petty cash and office-related claims.
Operate front desk: attend to visitors, answer phone calls, handle deliveries and provide meeting refreshments.
Support daily administrative operations for the office and Regulatory Affairs department.
Responsible for organizing internal company events (e.g., staff birthdays, CNY dinners and etc.), with support from Admin Dept for event details.
Maintain inventory records and update stock movement in the system, liaise with HQ when required.
Handle license applications, including document compilation and submission to local authorities (e.g., DBKL).
Responsible for the periodic cleaning, care and respectful handling of decorative and symbolic items in the Managing Director office based on the Chinese lunar calendar or as instructed.
Project Assistance
Assist project director in tracking and coordinating project activities.
Prepare project documentation, reports, meeting minutes and follow-up action lists.
Coordinate with internal teams, vendors and external parties to support project execution.
Assist in organizing project meetings and maintaining project documentation.
Driver & Vehicle Administration
Manage drivers' petty cash, overtime claims and personal claims.
Monitor company Shell card usage, invoices, cancellations and replacements.
Coordinate vehicle inspections and service appointments.
Other Duties
Assist management team with ad-hoc tasks as required.
Perform any other ad-hoc duties or assignments as directed by the Head of Department or Management.
Collect, review and process monthly staff claims with proper documentation.
Maintain professionalism and confidentiality when handling office information.
Job Requirements
SPM or Diploma in Business Administration, Management or related field.
1-3 years' experience in office administration, project support or similar role.
Strong organizational and multitasking skills.
Good communication skills and ability to interact professionally with internal and external parties.
Proficient in MS Office (Word, Excel, PowerPoint).
Able to work independently and
proactively

Attention to detail and high integrity in handling office matters.
