Key Responsibilities: Office Management / General Administration \xef\x82\xa7 Ensure smooth running of the office and provide general administrative support to the teams. \xef\x82\xa7 Provide EA support to Head of Operations and visiting executives, including diary management and travel coordination as required \xef\x82\xa7 Answer and direct telephone calls as appropriate \xef\x82\xa7 Manage suppliers, service contracts (communications, IT etc) and local office subscriptions, address issues promptly \xef\x82\xa7 Assist with preparation of senior management team meetings when required, including taking minutes and circulating agendas \xef\x82\xa7 Organise team meetings, video and conference calls and internal/external social events \xef\x82\xa7 Coordinate travel (hotel, flights, travel insurance, visas) and ensure relevant tracking documents are up to date \xef\x82\xa7 Coordinate mail and couriers, ensure records are maintained \xef\x82\xa7 Attend and contribute to monthly Global Office Management team meeting \xef\x82\xa7 Provide support to Head of Operations in coordination of annual NMG Charity Challenge as well as coordinate and encourage local participation in Charity Challenge activities \xef\x82\xa7 Coordinate incentive vouchers for programme participants and Shout Out vouchers for staff \xef\x82\xa7 Manage NMG Kuala Lumpur office call tree \xef\x82\xa7 Maintain NMG Kuala Lumpur forms and templates as appropriate Premises/Assets \xef\x82\xa7 Ensure physical office environment is professionally presented, organised and clean; take prompt action to rectify issues \xef\x82\xa7 Maintain and update contracts, office leases and insurance policies \xef\x82\xa7 Liaise with building managers and landlords, attend fire warden training, maintain office access cards \xef\x82\xa7 Coordinate replenishments for consumables, stationery or office supplies \xef\x82\xa7 Maintain filing/archiving process \xef\x82\xa7 Coordinate equipment maintenance and purchases IT Administration \xef\x82\xa7 Maintain service records for office equipment and up-to-date inventory of technology \xef\x82\xa7 Liaise with the office\xe2\x80\x99s external IT support provider (EISP) and NMG employees to solve IT issues (including new employee computer configuration) \xef\x82\xa7 Monitor and supervise external IT support, on-site visits and service level agreements Finance Support \xef\x82\xa7 Authorise local office expenses payments \xef\x82\xa7 Liaise with central Finance team on all relevant correspondence \xef\x82\xa7 Manage supplier invoices Human Capital Support \xef\x82\xa7 Assist with light administration including onboarding/offboarding of staff and back up interview scheduling \xef\x82\xa7 Conduct welcome and induction training (IT, Expensify, TSheets) for Kuala Lumpur office new joiners \xef\x82\xa7 Good understanding of local policies or requirements pertaining to COVID restrictions etc. \xef\x82\xa7 Ad hoc duties as assigned by Human Capital team If you are interested in this role and meet the criteria, please apply directly to: https://nmgconsulting.peoplehr.net/Pages/JobBoard/Opening.aspx?v=e35affcf-726a-413c-87db-48407875aefa
