Require of basic computer knowledge for key in/ preparing documentation and also working with email with CS team. Perform in good communication and follow up skill for every job received import/export. Preparing full document for operation planner with requirement from customer service team. Updating whiteboard for all the shipment details including D&D date and follow up RFC information to operation planner. Working close with operation planner to ensure all shipment received without incur any additional cost, and follow up all the revert documentation with proper filling.
Essential Duties
Receive and attend customer's request for transport and timely register the request into the system for operation to plan the delivery and collection. Provide promptly and timely feedback on customer's inquiries related to their request for transport. Follow up all the requirement from customer service including RFC request and updating white board for all job information.
1. Posting Of ROT's
Post all request into Excel File / INFOLOG System timely by creating Job No. for each request made, for easy retrieval to provide prompt feedback to customer.
2. Document Preparation & RFC
Ensure all full document to be follow up with customer services
Printed CDA and all related document for operation planner in order to execute planning activities.
Support operation team to follow up the shipment RFC information and spreading to operation team.
Update whiteboard for all updated information such as shipment details & RFC date timely.
3. Customer's Relations
Assist in customer relation/marketing by making/answering telephone call to gauge customers need and to report on the development of activities. Assist in gathering information pertaining to delivery and collection in order to reduce hiccups.
4. Update Information
Call or email and inform customer service, forwarding agent and/or relevant department on the status of their request for smooth operations.
Time to time update shipment information at whiteboard.
5. File Management
Responsible to keep all copies of customer's request and correspondences in proper manner by following the sequence of the job no. created and manage the filing effectively.
6. Amendment Of Information
Responsible to check and amend shipping data's (vessel, ETA, Tran shipment data, Port of destination, vessel code and etc.) to Facilitate accuracy of information shipper.
7. Reporting
To keep and prepare all records pertaining to customer complaints, service activities, inquiries, No. of sales and response time (weekly, monthly and quarterly).
Ensure all driver to submit related document to office daily basic (CDA/CO/DO/DN works ticket/DGC receipt/Diesel Receipt) before go back.
8. Safety And Quality
To comply with the Organizational HSEQ Policy & Department SOP.
9. Backup /Support
Support and back up on planner & co-planner for the operation if any.
Job requirements:
Posses at least Diploma or equivalent.
Preferably 1 years in Logistics/Supply Chain or similar industry.
Computer literate and well verse in MS Outlook, Excel, Word, PowerPoint.
Able to communicate and write in Bahasa Malaysia and English.
Team player, committed, able to commit to overtime.
Pro-active, independent and willing to learn.
Minimum C4 in SPM Mathematics.
